With a mission to empower Christian songwriters worldwide, NCS delivers training, community, coaching programs, workshops, a podcast (“Song Revolution with John Chisum”), a members-only songwriting community, and artist development initiatives that equip writers to grow creatively and professionally. (nashvillechristiansongwriters.com) Position Summary The Executive Assistant to the President supports John Chisum in managing strategic administrative functions, enabling him to focus on delivering transformational training, expanding NCS programs, and scaling impact. The ideal candidate is exceptionally organized, proactive, technologically adept, and aligned with NCS’s mission — able to represent the President professionally in communications and logistical coordination and to facilitate smooth execution of NCS priorities. The role demands discretion, creative problem-solving, and a heart for service within a faith-centered creative community. Key Responsibilities Executive Support & Calendar Management Provide comprehensive support to the President by managing his complex schedule, coordinating internal and external meetings, workshop commitments, recording sessions, podcast interviews, and industry events. Prepare agendas, background briefs, and follow-up notes to ensure effective execution of priorities. Communication & Correspondence Serve as the first point of contact for communications directed to the President. Screen and prioritize emails, calls, and messages with professionalism, respond when appropriate, and draft clear, mission-driven correspondence that reflects NCS voice and values. Travel & Logistics Coordination Organize and execute travel plans associated with conferences, speaking engagements, coaching intensives, and recording or worship events. Maintain detailed itineraries and address changes quickly and effectively to ensure seamless travel experiences. Meeting Preparation & Documentation Support meeting activities by preparing materials (presentations, reports, participant details), capturing meeting minutes or action items, and ensuring timely distribution and follow-up across teams and partners. Administrative & Operational Support Manage essential administrative systems, including document organization (digital and physical), expense reporting, file archiving, and membership or coaching platform coordination. Maintain internal calendars, task lists, and shared resources to ensure team alignment. Project Coordination & Strategic Initiatives Assist in coordinating NCS initiatives — from program launches and workshops to community events — by tracking deliverables, managing timelines, and liaising with staff and external collaborators. Support research, data gathering, and reporting to inform strategic decisions. Community & Event Support Provide logistical and administrative support for webinars, songwriter training sessions, retreats, and NCS Community activities. Collaborate with internal teams to ensure that events align with organizational goals and deliver exceptional participant experiences. Skills and Qualifications • Strong organizational skills with an ability to manage shifting priorities and multiple stakeholders., • Excellent written and verbal communication skills, with the ability to draft professional emails, meeting recaps, and executive communications., • Proficiency in productivity tools (e.g., Google Workspace, Notion, project management software)., • High level of discretion and integrity when handling sensitive information and communications., • Proactive problem-solver with a service mindset and a willingness to take initiative., • Experience supporting senior leadership, especially within creative, ministry, or nonprofit environments, is a plus., • Familiarity with the Christian music industry or songwriting communities is a bonus. Work Environment & Expectations This role operates in a flexible work environment, combining office, remote, and event-based responsibilities. The Executive Assistant should anticipate occasional extended hours to support live events, workshops, or travel coordination tied to NCS programs. Compensation Package All staffers at NCS are currently contractors on a work for hire basis. The Executive Assistant compensation is $30 - $35 per hour x 30 hours per week with the possibility of additional hours depending on workload. Annual reviews will be conducted with appropriate pay increases considered for this role. Staff payments are made by Venmo or PayPal on the 1st and 15th of each month and each staffer is responsible to turn in hours bi-weekly.
