Job Overview This position assists in oversight of the daily operations of the office and building to ensure a productive, efficient, and welcoming work environment. This hybrid role combines strategic oversight with hands-on coordination, requiring strong problem-solving skills, excellent communication, and the ability to manage multiple priorities with minimal supervision. This role will maintain the office as a gold standard environment, ensuring it is always presentable, professional, and operating at peak conditions for all employees, clients, and visitors. Required to be in the office multiple days per week to ensure smooth daily operations and provide on-site support during regularly scheduled events hosted at BCSP HQ and will be responsible in responding to occasional after-hours security calls as needed. Duties and Responsibilities • Manage and maintain overall office functionality, ensuring a clean, organized, and well-stocked workspace., • Coordinate office logistics, including supply management, vendor relationships, equipment maintenance, and facility upkeep., • Serve as the primary point of contact for internal teams and external partners regarding office-related matters., • Assist in coordination and execution of office events, meetings, and team-building activities., • Support onboarding and offboarding processes, including workspace setup and coordination with IT and HR., • Maintain office policies and procedures, ensuring compliance and consistency across teams., • Required to be in the office multiple days per week to ensure smooth daily operations and provide on-site support during regularly scheduled events hosted at BCSP HQ., • Independently troubleshoot issues and respond to urgent office/building matters with minimal oversight, ensuring timely and effective resolution., • Act as a self-starter who is independent, quick-thinking, and capable of making sound decisions using good judgment., • Maintain the office as a gold standard environment ensuring it is always presentable, professional, and operating at peak condition for all employees, clients, and visitors., • Exude professionalism at all times and communicate effectively with individuals at all levels, including executives, clients, and external guests. Serve as a gracious and polished host for all visitors to the office., • Serve as the main point of contact for the building’s security monitoring company, including responding to occasional after-hours security calls as needed., • Assist with administrative tasks such as scheduling, document preparation, data entry, internal communications, and travel accommodations., • Oversee all incoming and outgoing mail and packages and coordinate with appropriate staff accordingly. Support departments with the printing and mailing of outgoing correspondence and packages, based on weekly order reports. 3+ years of experience in office management, office coordination, facilities management or a related administrative role. Experience in administration or C-suite support preferred. * Associate’s degree or Bachelor’s degree preferred in Business Administration, Office Management, or a related field. * Strong organizational and multitasking abilities with keen attention to detail. Additional Eligibility Qualifications • Excellent interpersonal and communication skills., • Proven ability to work independently and handle urgent or unexpected issues calmly and effectively., • Demonstrated sound judgment and decision-making skills in a fast-paced environment., • Professional demeanor with the ability to interact confidently and courteously with all levels of staff and guests., • Proficiency in Microsoft Office Suite, and able to quickly learn online technology tools, other workplace tools., • Experience managing vendors, budgets, and office systems is a plus., • Strong writing and communication skills preferred
