Job Description Position Overview International Building Products, Inc. is seeking an experienced Construction Specialties Estimating Manager to lead the estimating function for commercial construction specialty products and scopes. This position is responsible for reviewing bid opportunities, managing the estimating process, preparing accurate and competitive proposals, coordinating vendor and customer communication, and supporting the transition from bid award to project execution. The ideal candidate is highly organized, detail-oriented, technically knowledgeable, and able to manage multiple bid deadlines while maintaining accuracy, professionalism, and strong communication with general contractors, vendors, internal staff, and project managers. Key Responsibilities · Lead and manage the estimating process for incoming Invitations to Bid (ITBs), Requests for Proposal (RFPs), negotiated opportunities, and customer quote requests. · Review bid documents, drawings, specifications, addenda, alternates, allowances, and project requirements to determine complete scope of work. · Assign, prioritize, and track estimating workload to ensure all bid deadlines are met accurately and on time. · Prepare detailed takeoffs, cost estimates, proposal clarifications, exclusions, and scope letters for construction specialty products and related installation work. · Evaluate project fit and determine bid / no-bid recommendations based on timeline, scope, customer requirements, available resources, and risk. · Coordinate with vendors, manufacturers, suppliers, subcontractors, and internal staff to obtain pricing, lead times, product information, and technical support. · Review estimator work for accuracy, completeness, scope alignment, and professional presentation before submission. · Maintain estimating data, bid tracking, customer information, status updates, and proposal documentation within Monday.com CRM and internal project systems. · Communicate professionally with general contractors, construction managers, architects, vendors, and customers regarding scope questions, clarifications, RFIs, and proposal status. · Support handoff from estimating to project management upon award, including scope review, materials lists, vendor quotes, lead times, exclusions, alternates, and customer commitments. Leadership Expectations · Provide day-to-day leadership, guidance, and accountability for estimators and estimating support staff. · Develop and maintain estimating procedures, templates, checklists, and best practices to improve consistency and accuracy. · Train team members on scope review, takeoff methods, proposal preparation, CRM updates, bid follow-up, and customer communication standards. · Monitor bid volume, win/loss trends, estimating accuracy, and process bottlenecks; recommend improvements to support company growth. · Promote a professional, solutions-focused, and team-oriented culture within the estimating department. Required Qualifications · Minimum of 5 years of construction estimating experience, preferably in commercial construction specialties, architectural products, Division 10, window treatments, visual display boards, toilet accessories, partitions, lockers, signage, or related scopes. · Prior leadership, supervisory, or estimating department management experience preferred. · Strong ability to read and interpret architectural drawings, specifications, bid instructions, addenda, and contract documents. · Experience preparing quantity takeoffs, vendor quote requests, scope letters, bid forms, alternates, and exclusions. · Strong understanding of commercial construction workflow, bid schedules, submittals, procurement, lead times, and project handoff requirements. · Excellent written and verbal communication skills with customers, vendors, general contractors, and internal team members. · High attention to detail and ability to manage multiple priorities, deadlines, and fast-moving bid opportunities. · Proficiency with Microsoft Office, Outlook, PDF review tools, CRM or project tracking systems, and estimating-related software. Preferred Qualifications · Experience using Monday.com or similar CRM / project management platforms. · Knowledge of commercial construction specialty manufacturers, product lines, vendor pricing, and installation considerations. · Experience working directly with general contractors, construction managers, public bid projects, school projects, healthcare projects, and commercial renovation work. · Ability to identify scope gaps, conflicts, substitutions, alternates, and risk items during bid review. · Familiarity with safety, insurance, bonding, subcontractor proposal review, and project documentation requirements is a plus. Work Environment This position is primarily office-based at International Building Products, Inc. in Westland, Michigan. The role requires frequent computer work, document review, phone and email communication, and coordination with internal and external project stakeholders. Occasional customer, vendor, or project-related meetings may be required.
