Role Summary The Experiential Marketing Project Manager brings brand stories to life through immersive experiences, leading end-to-end program delivery. The Project Manager leads the planning, coordination, and execution of experiential activations, mobile experiences, and touring programs from concept through on-site delivery and post-event debrief. This position manages all logistical, operational, and budgetary aspects of complex brand experiences—ranging from pop-ups and product launches to touring programs and large-scale brand activations. This is a high-impact, hands-on role requiring proactive communication, attention to detail, and the ability to manage multiple simultaneous projects in fast-paced, client-facing environments. The Project Manager owns the full lifecycle of assigned programs, executing with a mindset of excellence and business ownership. The ideal candidate combines a creative production mindset with strong logistical and financial management skills and thrives on bringing experiential concepts to life through seamless execution. Key Responsibilities • Serve as the day-to-day project lead and trusted client partner for assigned experiential programs., • Champion brand integrity and ensure activations deliver on performance metrics., • Partner with Account Executives, Client Service Managers, and clients to scope, plan, and deliver activations that meet creative intent, client goals, and budget parameters., • Oversee all aspects of experiential activations and mobile marketing tours, including planning, fabrication, routing, permitting, logistics, and execution., • Develop detailed production timelines, budgets, and project schedules; monitor progress and manage resources to meet deadlines., • Coordinate with internal creative, fabrication, engineering, and logistics teams to ensure all elements are built, branded, and delivered accurately., • Manage vendor relationships for vehicle operations, fabrication, tour staffing, and specialty services., • Lead site visits to evaluate venues, identify requirements, and ensure all necessary permits, insurance, and compliance measures are secured., • Serve as on-site project lead during installations, live activations, and strikes—ensuring efficiency, safety, and brand integrity., • Track and reconcile project budgets, expenses, and labor; report on actuals versus estimates; maintain financial accuracy and margin discipline., • Oversee mobile unit maintenance, compliance, and operational readiness to ensure tour readiness and operational safety., • Manage staffing schedules, field crew communications, and daily tour reporting., • Manage field staff and ensure performance expectations are met., • Proactively identify potential risks or challenges and develop contingency plans to protect timelines and deliverables., • Provide exceptional client service and maintain strong relationships with clients, venues, and partners., • Document event workflows, lessons learned, and post-event recaps to support continuous improvement., • Collaborate with leadership to develop scalable SOPs, tools, and playbooks to support operational growth., • Mentor project coordinators and field staff in industry best practices., • Brings a proactive, solution-oriented mindset and a positive can-do attitude reflective of Bluewater’s EPIC values., • Other duties as assigned. Skills & Qualifications • 8+ years of experience in experiential event production, mobile marketing tours, or branded activations., • Experience leading projects from $250K - $2M+ in scope., • Proven success leading multi-city mobile campaigns and complex experiential builds., • Strong financial acumen with demonstrated ability to manage budgets and consistently deliver profitable project outcomes., • Strong understanding of logistics planning, vehicle/tour operations, and event production disciplines including AV, scenic, fabrication, and permitting., • Exceptional organizational, budgeting, and communication skills with the ability to manage multiple projects simultaneously., • Proactive problem-solver who thrives in fast-paced, client-driven environments., • Proficiency in Microsoft Office Suite, Wrike (or similar project management platforms), and R2 (or other inventory systems)., • Knowledge of A/V, fabrications, scenic, permitting, DOT/CDL compliance, and tour operations., • Strong collaboration skills; ability to work effectively across departments and with external partners., • Bachelor’s degree in Event Management, Marketing, Production, or related field preferred; equivalent work experience considered., • Valid driver’s license and ability to travel frequently (30 – 50%, including nights and weekends)., • Passport preferred.
