Job Description Executive Bilingual Administrative Assistant Location: Clifton, NJ (In-office) Job Type: Full-time, 9:00 am to 6:00 pm Salary Range: $45,000 - $60,000/year base salary with up to $10,000 annual bonus Language Requirement: Fluent in English and Spanish Schedule: 40 hours per week with 1 hour paid lunch break daily. As an Executive Bilingual Administrative Assistant, you’ll be a critical part of our client-first approach, supporting internal operations while helping ensure a seamless, welcoming experience for every client who walks through our doors—or picks up the phone. Key Responsibilities * Greet clients and manage front desk operations with professionalism and warmth * Answer calls, emails, and messages in both English and Spanish * Schedule meetings, appointments, and travel arrangements * Maintain and organize digital and physical filing systems * Assist with Estate Planning Workshop managements (if needed at evening or weekend workshops, schedule will be adjusted accordingly to equal 40 hours / week) * Track office supplies and manage vendor relationships * Help with keeping snack and drink supply stocked * Happiness team: coordinate team events and initiatives * Draft and distribute memos, reports, and correspondence * Assist management with ad-hoc projects and internal initiative Qualifications * Proven experience in an administrative or receptionist role * Excellent written and verbal communication skills in Spanish and English * High proficiency with Microsoft Office (Word, Excel, Outlook, Google Suite) * Strong organizational skills and attention to detail * Comfortable working in a fast-paced, team-driven environment * Experience with QuickBooks or HR systems is a plus What We Offer * Competitive salary and performance-based bonus * Health insurance (after 90-day probation) * 401(k) plan with profit sharing (after 1 year) * Paid time off * Supportive team culture with training and mentorship * Opportunities for advancement and long-term growth If you're ready to bring your energy, professionalism, and talents to a firm that values both its clients and its employees—apply today and grow with us at Rosenblum Law.
