Summit Contracting Group, Inc. is currently looking for a PreConstruction Administrative Assistant. The Preconstruction Data Coordinator provides the knowledge, skills, and experience required to manage the day-to-day administrative tasks to support the PreConstruction department. Essential Duties, Responsibilities and Functions include the following. Duties, responsibilities and activities may change or new ones may be assigned at any time with or without notice. The PreConstruction Administrative Assistant is responsible for a large amount of data input, process management and overall administrative support for the department while in a fast paced environment. • Maintain and organize files, • Maintain, update and track department calendar, • Prepare documents and materials for meetings, bid books, etc., • Track and maintain information within a CRM, • Maintain cleanliness of conference room and sample showroom, • Assist in administrative tasks within the prequalification process and permitting process, • Take detailed, accurate meeting minutes in zoom calls, conference calls or in-person meetings when applicable, • Shipping, mailing and preparing postage, • Take inbound phone calls, place outbound phone calls, • Audit files and pull reports, • Order and replenish office supplies, • Track and organize required documents during the preconstruction process Qualifications Education, Experience and Preferred Qualifications include the following. • High school diploma or equivalent, • Associates Degree is a plus, • Minimum 1 year of construction administrative experience or general administrative experience; multifamily construction is a plus, • Experience with Microsoft Office Suite, Outlook, Construction CRM, Procore, Bid software is a plus, • Strong written and verbal communication skills, • Strong organizational skills, • Strong time management skills, • Ability to carry out instructions via written, oral form, • Eye for detail, • Proven ability to work in a fast paced environment, • Ability to multitask and change tasks quickly Work Environment • Indoor office, • Sitting for extended periods, • This is not a remote position Physical Demands • Walking, kneeling, bending, sitting, reaching, lifting up to 40 lbs.
