Job Description JOB SUMMARY This position contributes to Sanctuary’s success by ensuring the optimal functioning, safety, and appearance of all resort facilities, including structures, casitas, mechanical, electrical, HVAC, plumbing, and other infrastructure systems. The Executive Director of Facilities leads the department in preventative maintenance, energy conservation, project management, and strategic planning for property enhancements. This role also oversees the resort’s sustainability efforts, risk management initiatives, and capital improvement projects, ensuring compliance with all local, state, and federal regulations. The Executive Director of Facilities works cross-functionally to support other departments, enhancing operational efficiency and guest satisfaction. JOB FUNCTIONS Note: The following duties and responsibilities are not all-inclusive. Leadership & Administration • Oversee all administrative functions and daily operations of the Engineering, Grounds & Facilities Department., • Provide strategic direction and set departmental goals aligned with overall resort objectives., • Develop and implement policies, procedures, and best practices to enhance operational efficiency., • Manage departmental budgets, controlling costs while optimizing resources for maintenance and projects., • Conduct ongoing evaluations of team performance and departmental effectiveness., • Ensure the maintenance and proper functioning of all resort structures, equipment, and systems, including electrical, HVAC, plumbing, and fire safety., • Maintain the aesthetic appeal and functionality of guest and public areas through rigorous upkeep and landscaping initiatives., • Oversee waste management, recycling, and sustainability programs to align with environmental goals., • Develop and implement preventive maintenance programs to extend asset life and reduce emergency repairs., • Lead all rehabilitation, expansion, and special projects, ensuring timely and cost-effective completion., • Develop life cycle analysis for major equipment and systems to guide capital planning., • Collaborate with senior leadership to prioritize and plan long-term facility improvements., • Prepare and present proposals for new projects, ensuring financial and operational feasibility., • Ensure all systems, operations, and projects comply with OSHA, ADA, EPA, and other regulatory guidelines., • Maintain records of inspections, permits, and regulatory compliance certifications., • Lead emergency preparedness planning and train staff on fire safety, disaster recovery, and crisis management., • Serve as the primary point of contact for insurance and safety audits., • Recruit, develop, and manage engineering and groundskeeping staff., • Conduct ongoing training on equipment maintenance, energy conservation, safety procedures, and emergency response., • Establish succession planning and professional development programs for department employees. The individual must possess the following knowledge, skills, and abilities and be able to explain and demonstrate that he/she can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities. • Advanced knowledge of electrical systems, mechanical components, HVAC systems, plumbing, and fire suppression systems., • Strong understanding of public construction, building codes, permitting, and safety regulations., • Exceptional project management skills with the ability to oversee multiple large-scale projects simultaneously., • Proficiency in budgeting, forecasting, and cost-control management., • Strong leadership and decision-making skills, with the ability to manage a diverse team effectively., • Skilled in contract negotiation, vendor management, and procurement., • Ability to analyze data and performance reports to drive operational improvements., • Excellent verbal, written, and interpersonal communication skills., • High level of proficiency in facility management software and Microsoft Office Suite., • Direct and oversee the work of the engineering, grounds, and facilities teams., • Screen and interview potential candidates for hire., • Assign, monitor, and verify the completion of all maintenance, repair, and renovation projects., • Manage relationships with external contractors and service providers., • Ensure proper staffing levels for emergency and off-hour maintenance needs., • Lead emergency response efforts in case of fire, equipment failure, natural disasters, or other crises., • Establish performance metrics and hold staff accountable for results. Education & Experience: • Bachelor's degree in engineering, Facilities Management, Construction Management, or a related field preferred but not required., • A combination of education, certifications, and extensive hands-on experience in engineering, facilities, or maintenance management will be considered in place of a degree., • 10+ years of experience in facilities or engineering management, preferably in a luxury resort, hospitality, or similar environment., • Demonstrated experience leading capital improvement projects, sustainability initiatives, and compliance efforts., • Relevant certifications (e.g., CFM, PMP, LEED, and OSHA) are a plus., • Strong knowledge of building systems, maintenance operations, and safety regulations., • 10+ years of experience in facilities or engineering management, preferably in a luxury resort or hospitality environment., • Demonstrated experience leading capital improvement projects and sustainability initiatives., • Previous experience in supervisory or leadership roles required.
