Job Description A highly respected Newport Beach law firm is seeking an experienced and knowledgeable Legal Secretary to support 2–3 litigation attorneys. This is an excellent opportunity to join a collaborative team representing both nationally recognized corporations and innovative emerging companies. The ideal candidate will have extensive litigation experience, exceptional attention to detail, and the ability to independently manage a broad range of legal administrative responsibilities. Responsibilities • File and serve pleadings in California state court, federal court, appellate forums, and arbitration proceedings, • Proofread and edit pleadings, discovery, correspondence, and legal documents, including creating tables of contents and tables of authorities, • Assist in the preparation of pleadings, motions, discovery, and other litigation-related documents using established forms and precedent, • Serve discovery requests, discovery responses, deposition notices, objections, and document productions, • Process and circulate documents received from courts, clients, opposing counsel, and other parties, • Coordinate calendaring requests with docketing personnel, • Reserve hearing dates and schedule court reporters when needed, • Enter and revise attorney time entries in accordance with firm guidelines, • Schedule depositions with court reporters and videographers and process transcripts upon receipt, • Download, organize, and save incoming case documents, • Prepare check requests, vouchers, invoices, and reimbursement requests, • Open and close matters in accordance with firm procedures, • Assist with client billing and facilitate client payments, • Coordinate client meetings, business development meetings, and MCLE programs Requirements Qualifications • Minimum of 7 years of Legal Secretary or Legal Assistant experience, • Significant experience supporting attorneys in a heavy litigation environment, • Strong knowledge of California civil litigation procedures, court rules, and filing requirements, • Ability to exercise sound judgment and work independently, • Exceptional organizational skills and attention to detail, • Strong written and verbal communication skills, • Ability to manage multiple priorities in a fast-paced environmentTechnical Skills, • Advanced proficiency in Microsoft Word, Outlook, and Adobe Acrobat, • Experience with iManage and TABS is highly preferred Benefits Work Environment This position offers a hybrid schedule. During the initial onboarding and training period, candidates should expect to work primarily in-office to ensure successful integration into the firm's systems, procedures, and workflows. Following training, employees will transition to a hybrid schedule that includes at least one day per week in the Newport Beach office.
