Job DescriptionLegal Secretary We are a well-established law firm and are seeking an experienced Litigation Legal Assistant / Secretary to support a busy team of attorneys. This is an excellent opportunity for a highly organized, detail-oriented professional who thrives in a fast-paced litigation environment and can manage a heavy desk with confidence and independence. Key ResponsibilitiesDocument Management and Court Procedure • Draft, format, proofread, assemble, file, and serve litigation documents including pleadings, motions, subpoenas, deposition notices, briefs, jury instructions, contracts, release agreements, and correspondence, • Prepare tables of contents and tables of authorities, • Docket all court dates, discovery deadlines, meetings, and other critical dates using firm calendaring software, • Finalize and submit filings through state, federal, and appellate e-filing systems, • Ensure timely, accurate filing of all court documentsAdministrative Support, • Maintain attorney calendars and schedule meetings, depositions, examinations under oath, court reporters, conference rooms, and teleconferences, • Answer phones and emails efficiently and professionally, • Open new matters, prepare conflict checks, set up case captions, and organize files, • Manage correspondence, client contact information, and file maintenanceAttorney and Client Interaction, • Serve as a key point of contact between attorneys, clients, and court personnel, • Greet visitors and conduct initial client screenings, • Work closely with attorneys to ensure all deadlines and requirements are met, • Communicate effectively with clients, court staff, and other legal professionalsLegal Knowledge and Essential Skills, • Proficiency in legal terminology, procedures, formatting, and e-filing in state and federal courts, • Strong skills in Microsoft Office and other word processing software, • Excellent typing, accuracy, and organizational abilities, • Knowledge of ProLaw and Worldox is a plus, • High level of professionalism, discretion, and ability to handle confidential mattersQualifications, • Minimum 5 years of litigation legal assistant or legal secretary experience, • Ability to independently manage a heavy litigation desk Medical dental and Vision insurance 401 K with match PTO and Vacation • For this position, you must be currently authorized to work in the United States without the need for sponsorship for a non-immigrant visa.
