Job Description SUMMARY The Sales/Marketing Administrator performs a variety of administrative and general clerical tasks. Duties of the Administrative/Marketing Assistant include providing support to our Sales Account Executives in their day-to-day activities. This includes Trade Shows, lunch and learns, and Happy Hours. Manage vendors, sales reports, CE classes, inventory, and reordering marketing promotional items. These are our GREAT values, part of your work practices, and expected as part of your daily activities while working at WRG. • Trade Shows:, • Fill out tradeshow applications for Broward, Palm Beach, and Miami-Dade annual tradeshows. (Approximately nine shows in a year)., • Schedule tradeshows and events on Outlook calendar., • Prepare and organize crates with banners, marketing materials, etc., • Coordinate delivery of all marketing supplies needed for trade shows., • Route trade show invoices to the accounting dept., • Implement the Yacht Outing checklist., • Set the date and time and record it in the Outlook calendar., • Design and circulate flyers to the sales representatives., • Collaborate with the captain and catering host., • Validate the attendee list and dispatch waivers through DocuSign., • If departing from Pier66 Marine, request a reservation slip and process payment., • Confirm sponsors and associated expenses., • Dispatch the sponsor financial agreement via DocuSign for dual-party signatures., • Once agreements are confirmed, submit them for invoicing by providing both parties' agreements and the sponsor's email to the accounting department., • Alert accounting for Boat regarding billing for WRG Yacht Rental and Captain Service., • Upload all documents to the shared drive under Events > Yacht Outing., • Create a folder with the event date and upload relevant documents., • Organize Instacart and food orders for delivery., • Dispatch a gratitude email with the attendee list., • Implement the Event checklist., • Set the date and time and record it in the Outlook calendar., • Design event flyers and circulate flyers to the sales representatives., • Coordinate venues and dates for company events., • Conduct research and reach out to various locations in South Florida for pricing and availability., • Contact potential vendors to ascertain sponsorship opportunities., • Generate an Eventbrite link for attendees and incorporate it into the flyer., • Distribute the flyers to vendors and the sales team via email., • Send event reminders to registered attendees the day after., • Verify the registration list with the sales representative after and after the event., • Confirm sponsors and associated expenses., • Dispatch the sponsor financial agreement via DocuSign for dual-party signatures., • Once agreements are confirmed, submit them for invoicing by providing both parties' agreements and the sponsor's email to the accounting department., • Upload all documents to the shared drive under Events > Date – Event Name, • Maintain current organization’s sales calendar relating to events for local industry associations, including but not limited to: (CAI, BOMA, SEFAA, and WEW., • Pay membership renewals for each association and its events. (Follow-up with accounting), • Lunch & Learns:, • Arrange a lunch and learn session with the sales team and confirm participants., • Coordinate necessary materials, including a projector, HDMI cable, and sign-in sheets., • Prepare certificates tailored to the specific class being taught., • Report continuing education credits to the DBPR (Department of Business and Professional Regulation)., • Renew courses with the DBPR, outline the curriculum, and submit all required documents., • Revise and update PowerPoint presentations., • Place orders for lunch, process payments, and set up a schedule., • Marketing Promo Items, • Keep inventory stock accurate and the marketing up to date., • Ensure the marketing rep is signing out the materials taken to determine daily inventory., • Purchase requests to be submitted to procurement and approved by the Sales Manager., • General Sales Support, • Support and create meeting agendas for biweekly meetings, including association events., • Prepare Meeting Agenda, • Sales Figures for each rep – Sales Figures Year to Date, • Number of jobs a year to date, • Leads years to date., • Number of visits from last week, • Events last week, • Comments, • CE CLASSES, • Submit paperwork to DPBR and reporting of credits., • DASH (CRM), • Review and delete all duplicates or merge if needed per building notes. If the building is duplicated, send messages to the initial contact., • Support with answering the phones and creating jobs in the dash software., • House leads – update contact manager and follow up as needed., • Enter follow-up date and rep to report., • After 90 days, the job will be closed if there is no movement on the lead., • Follow up with the sales rep., • Search for new properties in different neighborhoods where properties are being developed., • Search for high-rise and mid-rise buildings throughout the districts., • Review the list and send all expired PCP agreements to the assigned Account Executive., • When uploading the signed PCP agreement, please verify all areas are signed and agreed to by both parties., • Request and review the daily log of each sales rep and enter the spreadsheet weekly., • Review and audit dash information and verify notes entered by the Account Executive., • Answer the phone after the third ring., • Follow the etiquette script: “Thank you for calling The Water Restoration Group; this is (your name) speaking. How can I help you?”, • Answer any questions and/or inquiries professionally., • Receive calls from the client or the account executive (sales representative) directly., • Follow the Call Screening Questionnaire., • Open a job on Dash or check pending sales., • Make a note to the PM and Coordinator., • Water emergencies are to be dispatched to the Production Manager or WTR Project Manager to coordinate the team., • Open the door for visitors utilizing the buzzer., • Handling distribution of checks and mail when needed., • Day-to-day operation tasks when requested by upper management., • Receive, review, and distribute incoming mail daily., • Scan all incoming mail and forward it to the accounting department for review., • Notify warehouse associates about any building, restroom, or air conditioning issues. The job operates in a professional office environment and will include off-site location visits and some outdoor exposure when visiting clients. Moderate noise level. This role routinely uses standard office equipment. Position Type and Hours of Work This is a full-time position. Employees are sometimes required to work extended periods of time, being flexible with their hours, which may include weekends. Required Education and Experience • 2+ years of general office administrative experience., • Must be proficient and have a good working understanding of the latest technologies, such as but not limited to Microsoft Office, • Excellent verbal and written communication skills, and strong organizational and time management skills., • Excellent customer service and interpersonal skills; ability to relate to others, • Ability to multitask and work independently or with a team and in a fast-paced environment., • Ability to work under time constraints to meet goals., • Must be available for all emergency calls. Must have the ability to react and address all emergency situations promptly.
