Job Description The Senior Executive Assistant to the CEO is a high-impact, mission-critical role responsible for amplifying the effectiveness of the CEO, driving key initiatives forward, and enabling seamless day-to-day operations. This is not a traditional support role-it's a dynamic partnership focused on translating vision into action, ensuring clarity in execution, and creating the infrastructure needed for strategic priorities to thrive. This individual must be a proactive problem-solver, a polished communicator, and an efficient project manager who understands the complexities of real estate development-including financing structures, tax credit work, and stakeholder coordination. Key Responsibilities1. Executive Support & Calendar Management * Manage the CEO's complex and evolving calendar with a focus on prioritization and alignment to strategic goals. * Coordinate and schedule internal meetings, external engagements, investor calls, personal time, and travel logistics. * Prepare daily briefs, agendas, background materials, and meeting content to ensure CEO readiness. * Proactively resolve scheduling conflicts and anticipate calendar needs. * Maintain discretion and professionalism in handling sensitive information. 2. Strategic Communication & Liaison * Act as the first point of contact for internal and external stakeholders on behalf of the CEO. * Draft clear, compelling communications, presentations, reports, and executive summaries. * Represent the CEO at internal meetings when needed, capturing notes and driving follow-up actions. * Liaise across departments to facilitate cross-functional alignment and communication. 3. Project & Initiative Management * Manage special projects and strategic initiatives from concept to execution, including research, planning, and reporting. * Track and ensure progress on key initiatives-especially those led directly by or important to the CEO. * Support the CEO in defining, refining, and executing opportunity filters and strategy circles. * Anticipate roadblocks and develop solutions to keep priorities on track. 4. Event & Engagement Coordination * Plan and coordinate logistics for investor meetings, industry conferences, leadership off-sites, and company-wide events. * Manage vendor communication, scheduling, and travel arrangements for event participation. * Ensure the CEO's presence is optimized and impactful at key events. 5. Administrative & Operational Excellence * Process and reconcile expense reports; maintain documentation of receipts and financial records. * Organize and manage confidential documents, contracts, and project files. * Support the CEO with occasional personal errands or time-sensitive tasks that require discretion. * Monitor communication channels (email, Slack, etc.) and respond or escalate as needed. Qualifications * 5+ years supporting a CEO, founder, or senior executive in a fast-paced organization; startup or real estate development experience strongly preferred. * Demonstrated ability to manage projects, juggle competing priorities, and maintain exceptional attention to detail. * Strong written and verbal communication skills with a high level of professionalism. * Experience handling confidential and time-sensitive material with discretion. * Proficiency in Microsoft Office, Google Workspace, and project management tools. * Deep understanding of how to align day-to-day operations with long-term strategy.
