Job Description Company: Quantum Real Estate Location: Wilmington, North Carolina Employment Type: Full-Time Work Arrangement: Hybrid Compensation: $17–$23 per hour, based on experience Schedule: Monday–Friday with flexible working hours; very occasional weekend availability may be required Start Date: As soon as possible Position Overview Quantum Real Estate is seeking a highly organized, discreet, and dependable Hybrid Executive & Personal Assistant to provide comprehensive professional and personal support to a company executive. This position is ideal for a proactive individual who thrives in a fast-paced environment, anticipates needs, handles confidential information with care, and can confidently manage a wide range of administrative, household, and lifestyle-related responsibilities. The role combines executive administrative support with personal assistance. Work will be performed through a hybrid arrangement, with local travel throughout the Wilmington area required for errands, appointments, shopping, and property-related tasks. No out-of-town travel is expected. Key Responsibilities Executive and Administrative Support • Manage the executive’s calendar, appointments, meetings, and scheduling priorities., • Monitor, organize, and respond to emails and other correspondence as directed., • Coordinate local and out-of-town travel arrangements, including transportation, accommodations, itineraries, and reservations., • Prepare documents, spreadsheets, reports, and correspondence using Microsoft Word, Excel, and Outlook., • Conduct research and provide organized summaries or recommendations., • Maintain accurate records, files, receipts, and confidential documentation., • Assist with expense tracking, bill payment, reimbursements, and basic financial organization., • Help prioritize tasks and follow up on outstanding items, deadlines, and commitments. Personal and Household Support • Complete local errands, personal shopping, pickups, returns, and deliveries., • Coordinate household vendors, service providers, maintenance appointments, and property-related needs., • Schedule personal, medical, vehicle, and household appointments., • Assist reservations, vehicle coordination, and property organization., • Research and arrange dining, entertainment, services, gifts, and other personal requests., • Handle sensitive personal, financial, medical, and business information with complete confidentiality. Event and Project Coordination • Assist with planning and coordinating business and personal events., • Manage invitations, reservations, vendors, supplies, schedules, and event-related logistics., • Track action items and help ensure projects are completed accurately and on time., • Communicate professionally with vendors, clients, service providers, and other contacts on behalf of the executive. Qualifications • At least two years of relevant experience as a personal assistant, executive assistant, administrative assistant, office coordinator, or similar support professional is preferred., • Proficiency in Microsoft Excel, Word, and Outlook., • Experience with Quicken is a plus but is not required., • Strong written and verbal communication skills., • Excellent organizational, time-management, and prioritization abilities., • Ability to manage multiple responsibilities and respond effectively to changing priorities., • Strong attention to detail and commitment to accuracy., • Sound judgment and the ability to work independently with limited supervision., • Professional demeanor and a high level of discretion. Required Personal Qualities The successful candidate will demonstrate: • Flexibility and adaptability, • A strong sense of urgency, • Exceptional organization, • Careful attention to detail, • Reliability and follow-through, • Initiative and proactive problem-solving, • Professionalism and good judgment, • Discretion and respect for confidentiality Additional Requirements • Must have a valid driver’s license, reliable personal vehicle, and appropriate automobile insurance., • Must be comfortable driving throughout the Wilmington area for errands and appointments., • Mileage for approved business-related travel will be reimbursed., • Must be able to lift and carry small packages weighing up to approximately 15 pounds., • Must be willing to complete a background check, driving-record check, and professional reference checks., • Must sign and comply with a confidentiality and nondisclosure agreement., • Must be available for very occasional weekend responsibilities with reasonable notice. Compensation and Benefits • Hourly compensation of $17–$23, depending on experience and qualifications., • Reimbursement for approved business mileage., • Stable, full-time opportunity with a flexible weekday schedule. Reporting Relationship This position reports directly to a Quantum Real Estate executive.
