Workplace Coordinator Contract: Banking Location: Cambridge Hours of work: 24 Contract Type: Permanent Purpose of the Role The Workplace Coordinator is pivotal in ensuring the smooth operation and administration of the workplace environment for this banking account. This role is responsible for enhancing the efficiency of back-office functions and supporting a positive experience for employees and guests. Key Responsibilities Operational Support: • Provide comprehensive support to the Workplace Manager and workplace teams., • Maintain and manage records, reports, and workplace documentation to ensure compliance with policies and standards., • Coordinate services such as cleaning, catering, and maintenance to ensure seamless operations. Data Management and Reporting: • Monitor and update workplace management systems with accurate and timely data., • Generate and analyze reports on workplace metrics, including occupancy, usage, and service performance., • Assist in budget tracking, invoice processing, and expense reconciliation for the workplace team. Coordination and Communication: • Serve as the primary point of contact for workplace-related queries from employees and contractors., • Liaise with suppliers and service providers to ensure timely and efficient delivery of services., • Facilitate internal communications, distributing updates and notices related to workplace operations. Health, Safety, and ESG Compliance: • Maintain records of health and safety checks, incident reports, and audits., • Support the implementation of ESG initiatives, including waste management and sustainability programs., • Ensure compliance with health, safety, and environmental policies in all workplace activities. Process Improvement: • Identify and implement opportunities to streamline workplace processes and develop best practices., • Assist in the rollout of new workplace technologies or initiatives, providing administrative support and training materials. Qualifications and Experience Required • Proven experience in a coordination or administrative role, preferably in facilities management or a workplace environment., • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) and workplace management systems., • Excellent organizational and multitasking skills, with the ability to manage competing priorities., • Strong written and verbal communication skills., • Familiarity with health and safety regulations and reporting processes (preferred).
