You will lead on content and creative on our projects from brief to execution for our key clients at the cutting edge of the live and virtual events space. You will deliver the best results for our clients while at the same time working collaboratively and efficiently with your project team supporting you. For our clients you will be a respected partner, quick to get under the skin of their needs, able to navigate decisions and get the best out of their teams to deliver on time, on budget and above expectations. You will be agile in managing across multiple workstreams or projects with great communication, to deliver timely responses, creative ideas, outstanding presentations, briefs, live events and post-event analytics. You will be able to operate effectively on big picture or in meticulous detail, adapting to the ever-changing challenges of new technologies, new brands, new trends and using this knowledge to strive for the best delivery of a brief. You’ll be expected to lead from the front - bringing structure, clarity and calm to projects while maintaining high standards across delivery, communication and process. Key Responsibilities Live Show Production • End-to-end management of projects across live and digital experiences, • Ensure projects are delivered on time, on budget and to the highest standard, • Manage multiple projects and priorities simultaneously, • Delivery of essential content and show management; including Run of show and all content requirements, • Excellent written communication, • Ideation and management of content creation, • Sourcing of suppliers, • Creative campaign management, • Briefing and management of the show team, • Speaker and facilitator management and briefing, • Onsite management, • Managing the integration of the latest innovation and technology to events, as needed. Client Management • Act as a primary day-to-day point of contact for clients, • Build strong, trusted and effective client relationships, • Lead client communications confidently and professionally, • Understand client objectives and ensure delivery aligns with expectations, • Provide strategic guidance and project updates throughout delivery, • Manage feedback, approvals and stakeholder expectations effectively, • Ensure all client needs are heard, understood and actioned Document & Process Management • Own and maintain key project documentation accurately and consistently, • Ensure teams are updating documents correctly and working to agreed processes Key documentation includes: • Procim budgets, • Project Open / Project Overview, • Scope of Work (SOW), • Event Plans, • Status Reports, • Meeting Minutes / Contact Reports, • Master & Creative Decks, • Critical Paths / Project Plans, • Roles & Responsibilities documents, • Venue Trackers & Assessments, • Supplier briefs (technical and creative), • Show flow / Run of Show, • Onsite schedules, • Crisis communications plans, • Debrief documents, • Project close documentation Strong written communication, attention to detail and document ownership are essential in this role. Team & Internal Management • Lead project teams across multiple departments and workstreams, • Run regular project and production meetings to ensure alignment and momentum, • Brief and manage internal teams clearly and effectively, • Delegate tasks and manage workflow across projects, • Keep delivery standards, deadlines and communication on track, • Support junior team members and contribute to a positive team environment, • Work collaboratively across creative, production, technical and operations teams Budget & Commercial Management • Manage project budgets from pitch through to reconciliation using Procim, • Track project costs, time allocations and supplier spend accurately, • Maintain strong commercial awareness across all projects, • Manage supplier relationships and negotiations effectively, • Ensure financial processes and approvals are followed correctly, • Lead project reconciliation and support internal financial reporting Debrief & Continuous Improvement • Lead internal and external project debrief processes, • Capture learnings, feedback and recommendations for future improvement, • Ensure project close documentation is completed thoroughly, • Identify opportunities to improve workflows, communication and delivery processes What We’re Looking For • 6+ years’ experience in a Producer role within events, experiential or creative agency environments, • Proven experience delivering multiple projects simultaneously across different scales and formats, • Strong experience managing clients, stakeholders and internal teams, • Excellent project planning and organisational skills, • Strong attention to detail and strong ownership of documentation and process, • Confident communicator with excellent written and verbal communication skills, • Ability to remain calm, proactive and solutions-focused under pressure, • Commercially aware with strong budget management skills, • Comfortable working in a fast-paced, evolving environment, • The ability to respect confidentiality and use discretion, • Experience across live, hybrid and digital events desirable, • Proficient in G Suite / Microsoft 365, • Knowledge of Procim, • Experience using project management and workflow tools, • Comfortable working across multiple systems and platforms, • Awareness of data protection and GDPR best practices, • Understanding of AI tools and systems What Success Looks Like • Projects delivered smoothly, on time and within budget, • Clients feel confident, informed and supported throughout delivery, • Repeat and new business with assigned clients, • Internal teams are aligned, motivated and working efficiently, • Documentation and processes are accurate, consistent and well-managed, • Budgets are controlled and reconciled effectively, • Teams trust you to bring structure, calm and clarity to projects, • Projects are delivered with execution excellence and attention to detail Package & Perks • £55,000 – £65,000 depending on experience, • Hybrid working model (3 days office / 2 days WFH), • 25 days holiday + bank holidays, • Your birthday off, • Lieu days for weekend work, • Pension scheme with flexible contributions, • Workplace Childcare Salary Sacrifice Scheme, • Access to financial wellbeing and mortgage advice support, • Regular team socials and company events, • Personal development and progression opportunities, • Opportunity to work with global brands on high-profile projects Equal Opportunities White Label Live is an equal opportunity employer committed to inclusion and diversity.
