The Talent Coordinator supports the effective operation of the London Talent team, working closely with Graduate Recruitment Manager, Attorney Development, and Recruitment professionals. The Talent Coordinator will coordinate the Trainee Programme and assist all attorney development, L&D, and recruitment activities by providing the necessary logistical and administrative support for the international offices. Duties and Responsibilities Primary Working closely with the Talent Team: • Coordinates the administration of the Trainee programme including, but not limited to, weekly hours communications, scheduling and circulating agendas for meetings, working with the graduate recruitment team to coordinate seat rotations, collecting and recording trainee development data, coordinating new trainee orientation, and providing additional support as required to the Graduate Recruitment Manager, Attorney Development Manager and Training Principal., • Updates the applicant tracking system which may include data entry for entry-level and lateral recruitment candidates., • Supports the coordination and delivery of all events, interviews, trainings, and programmes, and with entry level enquiries and registrations for events., • Coordinates with the central L&D team to support the delivery of the International Associate Curriculum., • Coordinates the maintenance of the London Talent Lifecycle Calendar, updating and communicating timelines for international trainee, L&D, recruitment, and attorney development projects and programmes, • Updates entries to the Firm daily email (Inside V&E), local newsletter (Spotlight), and the firm Talent calendar., • Maintains the Talent document filling system with all materials created and updated., • Assists with the preparation of presentations and drafting of documents for the Talent team., • Assists with updating the budget(s) with costs, predicted spend, and rebates. Processes invoices as required., • Attends Talent internal and external meetings as required. Takes detailed notes and produces/shares meeting summaries as needed., • Provides regular updates to the central Talent team on ongoing projects, as required., • Attends law fairs and external events, supporting early talent engagement and representing the firm as needed., • Coordinates the work experience programme, including scheduling, communications, and day-to-day administration., • Supports the annual SRA bulk renewal process, ensuring accurate data collection and timely submission., • Attends recruitment agency meetings and provides follow-up support, maintaining positive relationships and clear communication channels., • Assists recruiters with candidate management, including interview scheduling, liaising with stakeholders, and coordinating logistics., • Prepares lateral orientation schedules and coordinates the distribution of onboarding documents for new joiners., • Maintains and circulates the weekly Associate Dashboard, reporting on workload and capacity across the associate population., • Supports the organisation of trainee lunches and events, coordinating logistics and communication., • Assists with the Associate evaluation process, including scheduling, document preparation, and maintaining records. Secondary • Performs other duties as assigned. Working Conditions • Occasional travel and ability to work late hours., • Job is subject to time pressures and constraints. Minimum Qualification Education • High School education, bachelor’s degree preferred. Experience considered in lieu of education. Experience • A minimum of three years of progressively responsible experience within the talent or HR function of a law firm or comparable professional services organisation, including exposure to recruitment and graduate entry programs. Special Knowledge • Administrative experience Technical Skills • Proficiency in Windows operating systems and Microsoft Office Suite and/or related software; aptitude to learn and become proficient quickly in a variety of software/systems., • Experience with recruiting, human resources, or similar systems (such as Oracle, Flo Recruit, ViDesktop, etc.) advantageous. Attributes • Strong communication and organizational skills; ability to work with a team of highly-skilled professionals in situations that require diplomacy and confidentiality; self-starter who can work independently and in a team environment; detail-oriented; relationship building skills; ability to maintain a good rapport with various personnel at all levels.
