Job Summary The Payroll and Benefits Specialist is responsible for administering accurate and timely payroll processing and managing employee benefits programs. This role ensures compliance with federal, state, and local regulations while delivering excellent customer service to employees. The Payroll and Benefits Specialist serves as the main point of contact for payroll and benefits inquiries, supporting employees throughout their employment lifecycle. Key Duties and Responsibilities: Payroll Operations • Processes bi-weekly payroll, ensuring accuracy of employee compensation, deductions, and withholdings., • Processes out of cycle payroll runs when necessary (bonuses, involuntary terminations, etc.)., • Maintain payroll records, including new hires, terminations, promotions, transfers, and other employment changes Processes voluntary deduction reports., • Processes involuntary deductions such as levies and garnishments., • Audit payroll and benefits data regularly to ensure accuracy and compliance with regulations and company policies., • Prepare and distribute payroll-related reports for Finance, HR, and leadership as needed., • Stay current on changes in payroll laws, benefits regulations, and compliance requirements., • Files hardcopy personnel records into appropriate personnel files., • Moves personnel files for terminated employees to the appropriate filing location., • Archives personnel and payroll files as appropriate according to disposition standards., • Destroys archived personnel and payroll files that reach their maximum disposition., • Performs new hire onboarding when needed., • Ensures new employees are accurately and completely entered into the HR & Payroll Information System., • Administer employee benefits programs such as health, dental, vision, life insurance, disability, and retirement plans., • Tracks and follows-up on employee benefits enrollments (voluntary and automatic benefits)., • Assist employees with benefit enrollment, changes, and questions, providing clear and timely communication., • Coordinates with vendors to process new benefits enrollments, benefits changes, and terminating benefits., • Coordinates efforts between vendors and HRIS to ensure accurate benefit offerings and rates are reflected in HRIS., • Works with vendor to track and maintain COBRA process., • Manages the 401(k) enrollment process by setting up education meetings, processing enrollments and waivers, and processing 401(k) changes., • Assists separated employees with 401(k) distributions and roll overs., • Assists with annual 401(k) audits., • Tracks and maintains current time off benefits., • Prints work anniversary list from HRIS., • Prints Service Award certificates, and distributes to Managers/Supervisors., • Works with Awards Network and employees to make sure gifts are redeemed., • Works with Senior HR Manager to process tenure and Employee of the Quarter/Year bonuses., • Leads HSPPR Social Squad., • Prepares special and periodic reports for management., • Assists with the annual financial statements audit., • Ensures HR, Payroll, and Safety documents are filed or distributed as necessary., • Ensure data and coding in the HR & Payroll Information System is accurate., • Stays knowledgeable on federal and state regulations that affect pay, time off, and benefits., • Provides training and guidance for supervisors and employees on proper timecard processing and general personnel information input in the HR & Payroll Information System., • Responds to questions regarding employee benefits, payroll, or personnel information., • Commitment to the mission, values, goals, and success of HSPPR., • Communications - Is visible and approachable to staff, communicates with Human Resources Manager on developments within the department. Attends necessary meetings. Prepares communications of pertinent information to staff, managers and directors, as directed. None Physical Demands: • Ability to remain in a stationary position for extended periods of time while working at a computer or desk., • Frequent operation of a computer and other office equipment, including keyboard, calculator, telephone, and copier., • Regularly required to communicate with others in person, by phone, and electronically; must be able to exchange accurate information in these situations., • Occasionally required to move about inside the office to access files, office equipment, or supplies., • Ability to lift and carry up to 40 pounds occasionally., • Monday - Friday. Schedule may vary to meet organization's needs., • Associate's degree in Accounting, Human Resources, or related field preferred; equivalent work experience considered., • 2–4 years of payroll and/or benefits administration experience required., • Strong knowledge of payroll practices, wage and hour laws, and employee benefits regulations., • Experience with payroll/HRIS systems (Paylocity, or similar) strongly preferred., • Proficiency in Microsoft Suite (word, excel, teams, etc.) and other office software., • Excellent attention to detail, organizational skills, and ability to meet deadlines., • Strong interpersonal and communication skills with a customer service mindset., • Ability to maintain a high level of confidentiality and professionalism., • Excellent interpersonal and communication skills with a service-oriented mindset., • Ability to maintain confidentiality and handle sensitive matters with integrity., • The successful person displays the ability to professionally and effectively communicate both orally and in writing.
