Coming in April 2026 Evergreen Recovery Centers is proud to introduce our 90-day inpatient residential women’s program “Rainwood” tailored for women facing co-occurring substance use and mental health disorders. Our program emphasizes a trauma-informed, recovery-centered, and strengths-based approach. POSITION: Residential Admissions Coordinator REPORTS TO: Director of Rainwood PRIMARY FUNCTION: Reviews applications for placement at Evergreen Recovery Centers residential treatment facility for women’s program. Processes placement requests from referent agencies and interacts with women seeking treatment admission, scheduling, obtaining health plan pre-authorizations and providing initial clinical support to new admissions during the first 2-3 weeks of treatment to assist the patient in becoming familiar with the facility and staff and assuring a warm hand-off to primary counselor and reducing premature treatment discharge. SUPERVISES: No supervision of staff required. CLASSIFICATION: Hourly non-exempt, some weekend and evening hours. PRIMARY RESPONSIBILITIES: Serve as point of contact for Rainwood Women’s residential treatment facility, seeking placement of individuals into residential treatment, and remain a familiar point of contact while the new admission adjusts to the treatment milieu. Position is responsible for rapidly responding to phone inquiries, applications from referents, and ensuring that patients have all documentation and authorization required by payers prior to admission. Promotes an efficient and seamless process that is consumer friendly and expedites access to treatment. Specific tasks include, but are not limited to: • Respond, in a timely fashion, to first contact phone calls, emails and written correspondence regarding referral of individuals into women’s residential substance use disorder treatment programs at Evergreen Recovery Centers., • Maintain regular/daily contact with new admissions during first week of admission, in consultation with clinical staff, and provide support as the new admission adjusts to the treatment milieu., • Coordinate bed availability and timing of placements and collecting all required information and authorization forms in a timely, complete, and accurate fashion, and so that utilization management staff can submit health plan authorization requests., • Complete prescreens in a timely manner and inform ancillary staff of any special needs or requirement ahead of admission date., • Consult with residential director in making clinical determination for placement., • Maintain an admissions schedule and computer databases as needed to manage and monitor admission process, including but not limited to prescreen and clinical screen completion, waiting lists, admission schedules, schedule changes, and health plan pre-authorizations., • Greets admitting patient, completes all admission paperwork; enters new patient into electronic health care record; adds new patient to all required fields in Credible EHR system., • Assigns primary counselor based on caseload equity and schedules first 1:1 on staff schedule in Credible and at the completion of admit process, introduces patient to primary counselor then contacts Residential Specialist to complete the rest on onboarding process, search belongings, take to room, tour of facility, etc., • Document interactions with referent and/or applicant accurately in electronic health record and on the same day as interaction or service., • Maintain healthy collaborative relationships with other staff and maintain a customer service demeanor toward referents and prospective patients., • Provide supervisor with accurate and complete written reports on admissions requests, demographics of applicants, time between initial contact and placement and other data, as assigned or requested., • Keep supervisor fully informed of current and future bed openings and wait list issues that could affect full capacity, have a fiscal impact on the program or licensing or accreditation status., • Stay current on changes in the organization’s policies and procedures to demonstrate a working knowledge and always understanding and comply with those policies., • Always update and maintain the census at capacity for the program., • Stay current on technology utilized by the organization to conduct work tasks so that other members of the team can read and understand how to complete the admission of an individual in the case of absence due to illness or vacation., • Maintain confidentiality of sensitive information and comply with all laws and regulations governing the organization and its programs., • Attend and participate in meetings and trainings, as well as professional development plan, as assigned or required by supervisor., • Cover front desk duties as needed to include answering phones, taking messages, receiving mail, answering patient questions, and other duties as required., • Reliable attendance history: able to work some evening and weekend hours if needed., • Ability to exercise independent judgment and initiative within the scope of this job description and in accordance with agency policies, procedures and practices., • Demonstrated ability to work professionally and with strong customer service approach with prospective patients and other community agency representatives., • Ability to communicate professionally and effectively both in writing and orally., • Ability to establish and maintain a variety of records, organize data, and prepare reports., • Demonstrated basic computer skills, including familiarity with Microsoft Office and electronic patient records, as well as accurate and proficient keyboarding., • Knowledge of the organization’s treatment program and services., • Demonstrated ability to maintain professional boundaries and patient confidentiality at all times., • At least 3 years of experience working with persons with substance use disorders—preferably in a publicly funded, state-licensed addiction treatment program., • Maintain a valid Washington State Driver’s License and an acceptable driving record.
