Job Description Summary The Finance & Operations Manager supports the day-to-day operational effectiveness of the organization by coordinating processes across departments, analyzing workflows, and ensuring operational initiatives are executed consistently and efficiently. This role serves as a connective function between finance, systems, and process—translating strategy into action and ensuring operational follow-through. Essential Duties & Responsibilities Accounts Payable Functions • Ensure timely and accurate payments of invoices weekly, via ACH & check., • Ensure accurate coding for departments, sites and grants., • Maintain invoice records and approval backup, • Code and reconcile credit card statements., • Enter daily accounts payable bank debits into Sage, • Enter daily receivable ACH payments into Sage, • Count and Process cash deposits with Controller, • Process annual1099s, • Audit support for Sikich, Workers Comp, Finance, HRSA, FAR, and Grants., • Perform allocations for invoices as necessary, • Assist with month-end close, including accruals, reporting, and journal entries, • Tracks vendor agreements and supporting documentation, • Reconcile vendor statements and resolve discrepancies Develops and implements a phased purchasing governance model, transitioning from decentralized purchasing to standardized, compliant, and cost-effective procurement practices. • Plan, coordinate, and execute purchasing of medical, clinical, pharmaceutical, IT, facilities, and administrative supplies, • Sourcing suppliers based on price, availability, necessity, quality and logistical expenses, • Collaborating with various internal departments to ensure that they fulfill all requests, • Authorizing payments and managing purchasing expenses with meticulous record-keeping, • Assist with month-end close, including accruals, reporting, and journal entries, and capitalization., • Monthly assessment and valuation of inventory by site., • Maximize Sage Intacct for workflows and record keeping, • Reviewing and facilitating the setup of vendors, suppliers and contracts., • Process bi-weekly payroll for all employees, including salaried, hourly, and grant-funded staff, • Maintain payroll records with accurate and detailed coding, and ensure compliance with federal, state, and local laws, • Coordinate with HR to ensure accurate employee data, benefits, and deductions., • Prepare payroll reports for internal use and external audits, • Support year-end payroll processes, including W-2 preparation, reconciliation, and distribution., • Respond to employee inquiries regarding payroll, taxes, and time keeping., • Assist with month-end close, including accruals, reporting, and journal entries, • Assist with employee allocations across grants and sites. Required • Bachelor’s degree in Business Administration, Operations, Finance, or related field, or equivalent experience, • 3–5 years of experience in business operations, organizational operations, or a related role, • Strong analytical skills with the ability to interpret data and translate insights into action, • Proficiency with spreadsheets, reporting tools, and business systems, • Excellent organizational, communication, and follow-through skills Preferred • Experience in healthcare, nonprofit, education, human resources, or other regulated environments., • Experience supporting payroll or financial operations in partnership with finance teams. Actual compensation will be determined based on factors including, but not limited to, relevant experience, qualifications, internal equity, and organizational needs.
