Job DescriptionDescription: Position Summary: The Maintenance Manager is responsible for overseeing all aspects of property maintenance operations to ensure a safe, attractive, and well-functioning residential community. Under the direction of the Director of village operations, this role leads maintenance staff, coordinates vendors, manages work orders and preventive maintenance, and supports resident satisfaction and occupancy goals. The Maintenance Manager performs hands-on maintenance while providing leadership, organization, and accountability for all maintenance activities. understanding with potential volunteers, funders, donors, community leaders, partnering organizations, local businesses, affiliated boards and committees, and at conferences and conventions., • Cultivate and maintain strong relationships with neighbors, emphasizing our mission and values., • Leadership + Supervision, • Direct, train, mentor, and supervise Operations Support Specialists., • Assign work orders, prioritize tasks, and ensure timely and high-quality completion., • Conduct performance feedback and support the professional development of maintenance staff., • Foster a positive, team-oriented, work environment., • Maintenance Operations, • Oversee daily maintenance operations for residential units, common areas, and grounds., • Perform and supervise repairs, including plumbing, electrical, HVAC, carpentry, drywall, painting, flooring, roofing, appliances, and general construction., • Coordinate apartment turns (move-ins/move-outs) to ensure units are ready within established timelines., • Ensure excellent curb appeal through consistent groundskeeping and common area upkeep., • Perform hands-on maintenance as needed, including emergency repairs., • Preventive Maintenance & Inspections, • Develop, schedule, and track preventive maintenance programs for all building systems and equipment., • Conduct routine inspections of units, buildings, and common areas to identify safety hazards and maintenance needs., • Assist with and complete annual, monthly, and move-in/move-out inspections., • Maintain knowledge of gas, water, and electrical shut-offs and ensure proper documentation and maps are posted., • Work Orders & Systems, • Manage and track work orders to ensure completion within service standards (typically 24–48 hours)., • Maintain accurate maintenance records, logs, and documentation., • Utilize property management and work order software (e.g., Yardi) and basic computer applications., • Vendor & Project Management, • Coordinate, schedule, and supervise approved vendors and contractors., • Obtain and review bids, monitor contract compliance, and inspect completed work., • Manage unit renovations and capital improvement projects as assigned., • Warehouse & Donation Operations, • Oversee the organization’s warehouse used for the storage of furniture, supplies, and donated items., • Coordinate and participate in the pickup of donations on the designated pickup day, • Organize, sort, inventory, and store donated items and furniture in a clean, safe, and orderly manner., • Coordinate and participate in the delivery of items from the warehouse on the designated delivery day ., • Ensure warehouse organization supports efficient access, safety, and accountability., • Maintain cleanliness, safety standards, and proper storage practices within the warehouse., • Track incoming and outgoing items and communicate inventory needs or concerns to management., • Budget & Inventory, • Assist with maintenance budget planning and cost control., • Order supplies and materials with appropriate approvals., • Maintain inventory of tools, equipment, and supplies., • Track expenses and provide documentation to management/accounting as required., • Fleet Vehicle Oversight, • Oversee the organization’s fleet of six (6) vehicles., • Develop, implement, and track a preventive maintenance schedule for all fleet vehicles, including routine servicing, inspections, and repairs., • Coordinate vehicle maintenance and repairs with approved vendors as needed., • Ensure fleet vehicles are cleaned regularly and maintained in a safe, presentable, and operational condition., • Maintain accurate records related to fleet maintenance, inspections, registrations, and service history., • Report any safety concerns, damage, or operational issues related to fleet vehicles to management promptly., • Safety, Compliance & Emergency Response, • Ensure compliance with OSHA, Fair Housing, building codes, and federal, state, and local regulations., • Maintain safety standards, conduct safety training, and participate in safety meetings., • Respond to emergencies promptly and participate in on-call situations., • Report incidents, hazards, and potential liabilities to management immediately., • And all other duties as assignedRequirements: Qualifications • Education and Experience, • High school diploma or equivalent., • Minimum 4–5 years of experience in multi-family property maintenance., • Prior supervisory or lead maintenance experience., • Strong working knowledge of plumbing, electrical, HVAC, appliances, carpentry, painting, drywall, and general repairs., • Ability to troubleshoot and solve maintenance and building system issues., • Valid driver’s license, reliable transportation, and proof of insurance., • Authorized to work in the United States., • Access to a personal smartphone (email, messaging, apps); reimbursed per company policy., • Preferred, • Experience with subsidized housing (HUD, Tax Credit, RD)., • Strong experience in HVAC, Electrical, and Plumbing certifications a plus., • Experience managing unit renovations., • Forklift operation experience and certification preferred., • Knowledge and Skills, • Strong leadership, organization, and time-management skills., • Excellent written and verbal communication skills., • Customer service-focused with strong interpersonal and conflict-resolution abilities., • Ability to manage priorities, meet deadlines, and multitask in a fast-paced environment., • Basic computer proficiency (Microsoft, Google, and property management software)., • Ability to work independently and as part of a team., • Professionalism, reliability, and sound judgment.
