Job Description The Front Desk Receptionist is the "Face" of the company, responsible for greeting tenants, prospects, vendors, and others while presenting a professional image. They will assist with work order management, violation removal, and tenant scheduling, ensuring a service-oriented approach that makes current residents feel welcome and comfortable in their community. As the first point of contact for tenants, visitors, and vendors, the Receptionist represents the property management office with professionalism and efficiency, providing exceptional customer service, handling administrative tasks, and supporting day-to-day operations of the office. Essential Duties & Responsibilities The Front Desk Receptionist will conduct all business in accordance with company policies and procedures, and state and federal laws (OSHA, ADA, Fair Credit Reporting Act and Fair Housing). The essential functions include, but are not limited to the following: · Answer and handle incoming phone calls from prospective new residents, current residents, vendor/suppliers, etc. · Schedule and coordinate appointments, meetings, and property tours. · Greeting and assist visitors, tenants, and vendors in a professional and friendly manner. • Accept mail, packages, rent payments & distribute them as necessary, • Maintain a clean and organized front desk area. Ensure all common areas and office spaces are presentable and welcoming., • Keep office supplies inventory up to date. · Maintain accurate resident records. · Create flyers with property updates, reminders, and notices to tenants. · Maintain positive resident relations attitude. · Record and manage guest and vendor access. · Report any maintenance issues or safety concerns to the property management team. · Perform general office duties including filing, data entry, and organizing paperwork. · Maintain communication with residents; investigate and resolve complaints from tenants. · Be well versed in all property management software. · Other duties as assigned. Minimum Qualifications (Knowledge, Skills, and Abilities) · High school diploma or general education degree (GED); some college course work preferred • Previous experience in customer service or administrative roles, preferably in property management or real estate., • Strong communication skills (both verbal and written)., • Good computer skills, including Microsoft Word and Excel, • Excellent organizational and multitasking abilities., • Proficient with office equipment (phone systems, computers, fax, copier)., • Understanding NY fair housing laws, • Excellent communication and organizational skills, • Familiarity with property management software is a plus (e.g., Yardi, AppFolio)., • Attention to detail, • Ability to handle confidential information with discretion., • Excellent consumer service skills, • Able to work in team environment and independently; follow through skills · Frequently stand, walk and sit and use computer · Occasionally bend, stoop, climb stairs, push/pull, reach with arms and above shoulder, filing · Frequently it is required to use hands or fingers, handle or feel objects, tools, or controls · Regularly required to talk or hear · Able to perform close vision, distance vision, and the ability to adjust focus (read forms and papers) · Frequently need to lift and move less than 25 pounds; occasionally lift and/or move over 25 pounds.
