Job Description Front Desk Experience Coordinator (Receptionist) In Our Own Voices, Inc. (IOOV) Albany, NY | Full-Time | On-Site Salary Range: $38,500 – $40,000 Reports To: Office Manager About In Our Own Voices (IOOV) In Our Own Voices, Inc. Position Summary The Front Desk Experience Coordinator is the heartbeat of IOOV’s daily operations and community connection. This role goes beyond traditional reception work. It is about shaping the first impression, holding space with intention, and ensuring every person who enters or calls IOOV feels seen, respected, and supported. You are the bridge between community and services, helping to move people from inquiry to impact while keeping the office running with clarity, care, and efficiency. Core Responsibilities Front Desk Leadership and Community Experience • Welcome all visitors with warmth, professionalism, and cultural humility, • Serve as the first point of contact for clients, partners, and community members, • Answer and route calls with accuracy and care, • Support client engagement and connection to services, including programs such as the food pantry, • Maintain a welcoming, organized, and affirming front office environment Administrative Coordination • Manage shared calendars, appointments, and scheduling in coordination with leadership, • Handle incoming and outgoing mail and general communications, • Maintain organized client files, check-in systems, and front desk workflows, • Ensure seamless day-to-day front office operations Data and Systems Support • Enter and maintain accurate data in organizational databases, • Follow funder and organizational requirements for documentation and reporting, • Assist with tracking basic program data and generating reports, • Identify and communicate system or database issues Event and Program Support • Support logistics for IOOV programs, events, and community activities, • Assist with scheduling, space coordination, and vendor communication, • Help manage internal and external event calendars, • Contribute to a smooth and engaging community experience during events Operations and Accountability • Uphold strict confidentiality and ethical handling of all information, • Follow organizational policies and procedures, • Support team operations and special projects as assigned Minimum Qualifications • High School Diploma required, Associate’s Degree preferred, • 2 to 3 years of front desk, receptionist, or administrative experience, • Bilingual Spanish strongly preferred, • Strong computer and database skills, • Excellent communication and interpersonal skills, • Strong organization, attention to detail, and time management, • Ability to multitask and thrive in a fast-paced, mission-driven environment Why This Role Matters At IOOV, the front desk is not just a position.
