Job Description Title: Office and Administrative Support Coordinator Department/Office: IAAPA HQ, Administration (Orlando) Status: Non-Exempt Reports To: TBD Direct Reports: N/A Overall Responsibilities: The Office & Administrative Support Coordinator provides day-to-day administrative and front desk support for the organization. This role will assist executive staff with scheduling, basic communications, and presentation preparation while helping ensure the office runs smoothly and professionally. It’s a great opportunity for someone who is organized, detail-oriented, and interested in improving administrative and communication skills. Essential Duties & Responsibilities: • Front Desk & Office Support, • Serve as the primary front desk representative, greeting visitors and managing incoming calls and correspondence in a professional manner, • Manage mail, deliveries, and visitor access, • Maintain an organized and welcoming office environment, • Executive Administrative Support, • Provide general administrative support to executive leadership, • Assist with calendar scheduling, meeting coordination, and document preparation, • Assist with travel arrangements, expense reporting, and general administrative tasks as needed, • Board & Executive Communications, • Assist with basic communications to Board members, such as scheduling meetings and sending materials, • Assist in preparing and organizing Board meeting materials, • Track meeting dates and follow up on basic administrative requests, • Presentation & Document Management, • Assist in updating, formatting, and polishing PowerPoint presentations, • Ensure presentations are visually consistent and aligned with organizational standards, • Assist with proofreading and refining written materials for clarity and accuracy Qualification, Knowledge, Skill Required: • Previous experience in administrative, office, or customer-facing role preferred, • Strong proficiency in Microsoft PowerPoint and general Microsoft Office applications, • Good written and verbal communication skills, • Strong organizational skills and attention to detail ADA Specifications: • This position is primarily sedentary in the Orlando, FL HQ office and may require some bending and lifting.
