Job Description Executive Assistant Nonprofit Organization - Sacramento, CA Schedule: In-office Monday-Thursday Standard business hours (8-hour day with lunch flexibility) Position Overview This is a temporary Executive Assistant role supporting multiple senior leaders during an extended leave period. The organization is prioritizing quality, stability, and strong judgment over speed, with the goal of maintaining seamless operations and executive support rather than short-term stopgap coverage. The Executive Assistant will play a critical role in supporting leadership effectiveness and organizational flow through proactive calendar management, high-volume communication coordination, and complex logistics. Key Responsibilities • Manage complex, high-volume calendars across multiple executives, • Oversee heavy email correspondence, prioritizing and flagging critical issues, • Coordinate domestic and occasional international travel, including logistics and itineraries, • Support virtual and in-person meetings, ensuring scheduling feasibility and preparedness, • Anticipate challenges and proactively resolve conflicts before they arise, • Serve as a trusted partner to leadership, providing thoughtful input and managing up when needed, • Maintain discretion and professionalism when handling sensitive information, • Reports to the Director of Operations / Business Services, • Works closely with a collaborative administrative team, • Supports 5 senior leaders (a mix of local and remote executives), • Organization operates across multiple programs and partners, requiring strong coordination and time-zone awareness Must-Have Skills & Traits • Thrives in a fast-paced, high-volume environment, • Exceptional attention to detail with very little room for error, • Proactive thinker who can plan 2-3 steps ahead, • Comfortable managing shifting priorities with calm and flexibility, • Confident communicator who can respectfully push back when something is not feasible, • Strong judgment and ability to work independently without repeated direction, • Heavy use of Outlook for calendaring and email, Zoom, Microsoft Teams, • Travel booking platforms and agency coordination, • Expense reporting tools (experience with any system is acceptable), • Mission-driven, collaborative, and people-centered, • Supportive administrative team with a strong sense of partnership, • Leadership described as respectful, responsive, and appreciative of strong EA support Benefit offerings include medical, dental, vision, life insurance, short-term disability, additional voluntary benefits, EAP program, commuter benefits and 401K plan.
