Job DescriptionSpread the Word Nevada Overview Spread the Word Nevada was formed in February 2001 by Co-Founders Laurie Hartig and Lisa Habighorst. Spread the Word Nevada is dedicated to advancing early childhood literacy by placing books into the homes of children within Nevada's at-risk, low-income communities. Through community collaboration, mentorship, and family partnership programs, Spread the Word Nevada fosters reading and language development opportunities, ultimately leading to brighter academic and economic futures for these children. Position Overview: The Office Manager has a crucial role in ensuring that the office runs smoothly and efficiently. They are responsible for controlling correspondence, coordinating the purchase of supplies and services, managing relationships with vendors, and creating and maintaining a pleasant work environment that ensures high organizational effectiveness, communication, and safety levels. To be successful in this role, the Office Manager must possess excellent organizational skills, be highly motivated, and be able to multitask effectively. They must also have good communication skills, both written and verbal, be responsible, and have a flexible approach to work. The Office Manager is typically the first point of contact for corporate entities and staff members, so it is essential that they have an inviting and personable attitude, pay close attention to detail, and possess high emotional intelligence. Additionally, the candidate must be able to work independently with little supervision, establish priorities, and handle confidential information discreetly. Essential Functions and Responsibilities Administration/HR • Design and enforce office procedures and policies, • Assist the Chief Executive Officer (CEO) with board correspondence and legal obligations, • Provides supervision of the Administrative Assistant, • Coordinate repairs to office equipment, • Prepare and process payroll, • Purchase supplies (Office Supplies, General Use, Kitchen & Cleaning Supplies), • Maintain records and prepare reports as required, • Facilitate communication between departments, • Coordinate and schedule staff meetings, • Serve as a liaison to all Administrative Vendors & provides oversight of facility tenant rentals, • Human Resources Support and tasks as assigned Other duties may be assigned at the discretion of the Director of Operations and Chief Executive Officer relating to the fundamental aspects of the Office Manager or related positions. Education or Experience Requirements • Minimum of 2 - 4 years experience in office management or administrative role required, • Familiarity with an office environment and how organizations operate, Non-Profit experience a plus, • Knowledge of basic bookkeeping, • Knowledge of Payroll/HR Cloud iSolved, • Highly organized, self-motivated, and possess excellent attention to detail and problem-solving skills, • Must be proficient in Microsoft Office, including Outlook, Word, Excel, and PowerPoint, • Must possess the proficient ability to communicate in English in oral and written format, • Hands-on experience with office machines (e.g., fax machines and printers), • Excellent time management skills and ability to multi-task and prioritize work, • Ability to identify areas for improvement and making recommendations, • Valid Nevada State Drivers' License, • Current Nevada Drivers Record (w/in 30 days) Personal Characteristics Below are some of the qualities an Office Manager will exhibit: • Effective communication skills, • Team player, • Strong attention to detail, • Analytical, • Strong organizational skills, • Excellent time management and prioritization skills Physical & Mental Demands and Working Conditions: Requirements The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Work Environment: While performing the duties of this job, the employee is occasionally exposed to excessive heat and wet and/or humid outside conditions.
