Job Description Job SummaryWe are seeking a reliable Facility Services Specialist to provide on-site facilities support and coordination for a multi-floor corporate office environment in Newport Beach, CA. This role involves managing service requests, coordinating maintenance activities, supporting office moves, and ensuring a safe, clean, and efficient workplace. Key Responsibilities • Receive, review, and prioritize facilities service requests; coordinate with building engineers, property management, and approved vendors (HVAC, electrical, plumbing, lighting, furniture, appliances)., • Support internal office moves and relocations, including scheduling with IT and movers, assisting with desk packing, light furniture moves, and post-move setup., • Perform minor furniture adjustments and repairs; escalate specialty repairs as needed., • Assist with space planning, furniture setup, and event or seasonal décor installation., • Maintain and update floor plans, occupancy data, and inventory records using tools such as AutoCAD and Excel., • Track consumable supplies, coordinate deliveries, monitor backorders, and assist with invoice documentation., • Provide administrative support for facilities services, including vendor invoice submission and expense tracking., • Conduct routine walkthroughs to observe office conditions, cleanliness, and safety concerns., • Perform weekly building inspections and minor maintenance tasks., • Set up conference rooms with tables, chairs, and audiovisual equipment; ensure equipment is functioning and ready for use., • Respond to service requests including delivery of keys, moving boxes, relocating furniture, and assembling fixtures., • Keep storage areas organized and ensure rain mats are deployed as needed, • High School Diploma or equivalent., • Valid Driver’s License., • 1–3 years of experience in facilities coordination, office services, or workplace operations., • Experience coordinating maintenance with vendors, building engineers, or property management., • Ability to manage and prioritize service requests in a ticketing system (e.g., ServiceNow)., • Working knowledge of office furniture systems and ability to perform minor repairs., • Proficiency with Microsoft Excel and reporting tools., • Strong communication and customer service skills., • Ability to lift, push, and pull up to 50 lbs, use step ladders, and move light furniture., • Ability to walk, stand, kneel, and carry objects as part of daily responsibilities., • Experience maintaining occupancy data, inventory records, or facilities tracking logs., • Familiarity with AutoCAD for floor plan updates., • Prior experience supporting conference room setups and audiovisual equipment.
