Job Description Position Title: Front Office Receptionist, Registrar & Attendance Coordinator Reports To: Operations Manager Employment Status: Non-Exempt Full-Time, Year Round Position Location: In-Person, AAK Elementary School Front Office Work Hours/Days: Full Time, Monday-Friday 8:30am-5pm Start Date: May 1st, 2026 Pay: $19.00-$23.00 per hour Benefits: • 401(k), • Dental insurance, • Health insurance, • Paid time off The Front Office Receptionist, Registrar, and Attendance Coordinator serves as the first point of contact for students, families, staff, and visitors. This position manages the front desk, maintains accurate student enrollment and records, oversees daily attendance processes, and monitors secure building access. The role supports the efficient and safe operation of the school by providing excellent customer service while ensuring accurate student data and adherence to school safety procedures. Essential Duties and Responsibilities Front Office Operations • Answer and direct incoming phone calls and respond to general inquiries., • Serve as the primary receptionist for the school, greeting visitors, students, and families in a professional and welcoming manner., • Provide information regarding school procedures, schedules, and events., • Maintain an organized and professional front office environment., • Assist with general clerical duties including filing, copying, and distributing materials., • Create and send the weekly newsletter, • Frequently update the school website, • Check in substitute teachers and direct them to their duty location, • Monitor the front entrance and manage visitor access according to school safety procedures., • Communicate with administration regarding safety concerns or unusual activity., • Ensure exterior doors remain secured and respond promptly to door access requests., • Check out students to approved adults, • Manage student enrollment, withdrawals, and transfers., • Maintain accurate and confidential cumulative student records., • Collect and verify enrollment documentation including proof of residency, immunization records, and guardianship documentation., • Request records from prior schools and discriminate appropriately., • Process records requests from other schools and ensure timely transfer of records. Enter and update student information in the school's student information system., • Ensure compliance with student privacy laws and recordkeeping requirements., • Receive and record absence notifications from families., • Manage and maintain daily student attendance records in the student information system., • Track tardies and early dismissals., • Maintain attendance documentation and records for compliance with school and state requirements., • Contact families regarding unreported student absences as required by school procedures., • Generate attendance reports weekly and send home information regarding truancy to families., • Generate attendance reports for administration when needed., • Communicate professionally and courteously with parents and guardians., • Serve as a primary point of contact for families regarding enrollment, attendance, and general school information., • Provide clerical and organizational support to administration and staff., • Assist with school-wide communications, mail distribution, and office supply coordination., • Support school events and front office logistics as needed., • High school diploma or equivalent required., • Strong organizational and multitasking skills., • Excellent customer service and interpersonal communication skills., • Ability to maintain confidentiality and professionalism in a school environment. Proficiency with computers and common office software., • Experience working in a school office., • Experience with student registration and attendance systems. Physical Requirements • Ability to sit or stand for extended periods., • Ability to operate office equipment including computers, phones, and copiers. This position works in a busy elementary school front office with frequent interaction with students, families, staff, and visitors.
