A boutique property management company is seeking an a 'second in command' to assist with the day to day running of the company, manage the team and oversee administrative operations and ensure full statutory and building safety compliance across a diverse property portfolio. Reporting directly to the Founder, this is a key leadership role maintaining efficient office operations, and ensuring compliance with current legislation and best practice and making sure the team are 'firing on all cylinders' This is a fantastic opportunity for a mature and responsible person, who maybe wants a change of direction or someone who is ready for a new challenge. Due to the office being based in Watford - living locally or within easy commute is important. Key Responsibilities Office & Team Management • Lead, supervise, and support the administration team to deliver a consistently high standard of service, • Manage workflows, delegate tasks, and ensure deadlines are met, • Act as the first point of contact for escalated administrative and client service issues, • Maintain a professional, efficient, and welcoming office environment Compliance & Building Safety • Take ownership of compliance management across all managed properties, • Ensure all statutory requirements are met, including health & safety, fire safety, and building safety, • Maintain and monitor compliance registers (fire risk assessments, asbestos reports, health & safety inspections, etc.), • Liaise with contractors, surveyors, and authorities to arrange inspections and remedial works, • Monitor contractor performance to ensure compliance standards are met, • Stay up to date with legislative changes and implement updates to policies and procedures Administration & Systems • Oversee the effective use of Microsoft Office 365, including SharePoint and Planner, • Ensure GDPR-compliant data accuracy and security, • Manage administrative processes such as correspondence, mail merges, Section 20 Notices, newsletters, and client communications, • Identify and implement process improvements to enhance service delivery, • Ensure financial and administrative records, including service charge documentation, are accurate and current Communication & Stakeholder Management • Communicate clearly and professionally with leaseholders, freeholders, contractors, and internal teams, • Support the Managing Director with reports, meeting minutes, and compliance updates, • Represent the business professionally with clients, contractors, and regulatory bodies, • Attend Zoom meetings with boards of directors and leaseholders Skills & Experience • Experience in either PA/ EA work, office management, compliance, or property management administration is desirable, • Proven leadership and team management capability, • Strong knowledge of building safety, health & safety, and compliance regulations in residential property management, • Excellent organisational skills and attention to detail, • Confident written and verbal communication skills, including handling challenging situations, • High level of IT literacy (Microsoft Office 365, Word, Excel, SharePoint), • Strong numerical, reporting, and prioritisation skills, • Professional, ethical, and proactive approach with a willingness to grow with the business
