About the Role: This is a hands on part-time administrative support role within a small and growing organisation. Forever Young People works closely with the local authority and schools supporting mentoring programmes, alternative provision, youth projects, and social care services. We are looking for someone who is genuinely capable, self-motivated, and confident in their own abilities. You will take instruction and work closely with the Operations Manager and CEO, but you will also be trusted to work independently and manage your own workload, use your initiative, and proactively identify ways to improve how we work. Key Responsibilities include: Operational & Administrative Support • Day-to-day administration including emails, calls, and correspondence, • Maintaining internal systems, trackers, and databases, • Drafting reports and communications to a professional standard, • Communicating with parents/carers, schools, and local authorities, • Liaising with external providers and partners, • Supporting the completion and tracking of contracts and agreements, • Supporting HR administration including recruitment processes and onboarding, • Support project administration, • Preparing reports and summaries for internal and external use, • Supporting coordination of mentoring sessions, timetables, and bookings, • Researching and booking venues, activities, and resources, • Updating attendance, session logs, and delivery records, • Maintaining accurate records for young people, including EHCP-related documentation, • Supporting the logging and tracking of safeguarding concerns (under guidance), • Maintaining compliance records and documentation, • Keeping policies and procedures up to date, • Ensuring paperwork meets local authority and organisational standards, • Assisting with timesheets, invoicing, and expenses, • Tracking delivery hours and programme data Person Specification Essential • Strong organisational skills and excellent attention to detail, • Excellent written and verbal communication, and able to produce professional documents independently and to a high standard, • Proficient and confident in Microsoft 365 including Word, Excel, and Outlook., • Confident in learning new IT systems and databases, • Confident managing your own workload and priorities without close supervision, • Proactive and solutions focused. Someone who spots what needs doing and does it, and who looks for smarter ways of working, • Reliable, self-motivated, and consistent, • Adaptable and flexible and calm under pressure and comfortable when priorities shift, • Experience in education, youth work, SEND, or social care settings, • Understanding of safeguarding processes, • Knowledge of EHCP processes This role will suit you if you are the kind of person who hits the ground running, takes pride in doing things properly, and doesn't need someone standing over them to get things done. As a small team, our setup is a little different to a typical office. This role really suits someone who enjoys a balance of teamwork and independence. There may be times you may be the only person in the office, and genuine independence and self-motivation is essential. The pace is varied. You might spend one day coordinating timetables and activities, and the next working through compliance paperwork and reports. Some tasks are strategic and some are entirely mundane, and we need someone who approaches both with the same care and professionalism.
