    About the Role We are seeking a organised Administrative Assistant to join our team on a maternity cover contract. This role is ideal for someone with excellent communication skills, strong attention to detail, and the ability to manage multiple tasks in a busy office environment. The successful candidate will provide administrative support to the wider team, ensuring the smooth day-to-day operation of the office while delivering excellent customer service to clients and stakeholders. Min 30 hours- Full Time, Monday to Friday, [flexible start time Thursdays and Fridays essential) Key Responsibilities • Answering and directing incoming telephone calls and emails., • Managing office correspondence and maintaining accurate records., • Processing invoices, • Updating and maintaining company databases, • Assisting with client enquiries and providing professional customer support., • Supporting colleagues with various administrative tasks as required., • Ensuring company records remain accurate, confidential, and GDPR compliant. Essential Requirements • Previous experience in an administrative or office support role preferred ., • Strong organisational and time management abilities., • Good working knowledge of Microsoft Office (Word, Excel, Outlook)., • Ability to work independently and as part of a team., • High level of accuracy and attention to detail., • Professional and friendly manner when dealing with clients and colleagues.     This is an important role within a growing business. You will be responsible for keeping transactions moving, liaising with clients, lenders, solicitors and other professional parties, and ensuring that everyone has the information they need to get deals completed efficiently. The business is a specialist property and business finance brokerage, arranging bespoke funding solutions for property investors, developers and businesses across the UK with a view to grow and expand. Opportunity for career progression. The Role Your day-to-day responsibilities will include: • Preparing and submitting finance applications to lenders, • Collating supporting documentation and information from clients, • Liaising with lenders throughout the application and underwriting process, • Regularly progressing live cases and identifying outstanding requirements, • Chasing clients for documents and information required by lenders, • Liaising with solicitors on both sides of a transaction to help progress matters towards completion, • Liaising with valuers, accountants and other professional advisers where required, • Keeping clients informed of progress throughout their transaction, • Monitoring lender requirements, valuations, legal work and outstanding conditions, • Maintaining accurate case records and updating our CRM system, • Ensuring important deadlines and proposed completion dates are monitored, • Assisting with the preparation of documents, correspondence and client communications, • Providing general administrative support to the Director, • Taking ownership of cases and proactively helping to resolve issues that could delay completion About You We are looking for someone who is highly organised, confident communicating with people and comfortable taking responsibility for getting things done. You should be: • Proactive rather than waiting to be asked to chase something, • Highly organised with strong attention to detail, • Confident speaking with clients, lenders and solicitors by telephone and email, • Comfortable managing several live transactions at the same time, • Persistent and comfortable chasing outstanding information, • Professional and personable when dealing with clients, • Able to prioritise tasks and recognise what needs attention urgently, • Confident using email, Microsoft Office and CRM systems, • Able to work independently as part of a small and growing business Experience within property finance, mortgages, bridging finance, development finance, conveyancing, estate agency or financial services would be particularly useful, although we would consider someone with strong administrative and case-management experience from another professional environment.
