The role You will be a key member of the Central Billing Team and proactively support teams across the business with their eBilling. This role reports into the Billing Manager and is primarily responsible for: • Manage a portfolio of ebilled client relationships to achieve optimum lockup and client service, • Be responsible for the timely and accurate setup of new ebilling platforms/portals, working with the business to ensure that all required information is received [as per the eBilling onboarding form] and to liaise directly with the client where necessary., • Play a key role in utilising our systems to automatically identify timelines to review/exclude in advance of upload, with support from the billing team., • Liaise closely with matter managers where there are issues with upload or approval, keeping track of progress and escalating any concerns promptly to relevant internal stakeholders and the Billing Manager., • Assist in processing bills, credit notes, and adjustments when bills are approved with reductions or rejected time for specific clients. Must have excellent attention to detail., • Ensure all rejections on invoices uploaded to client portals are appealed within the client's timeframe as specified in the relevant Service Level Agreements (SLA) for the client., • Update the credit control system as soon as you are aware of any status changes or other updates regarding ebilled invoices and assist the credit control team to promptly resolve queries., • Carry out weekly reviews of outstanding invoices in the ebilling portals. The person The role requires someone who can prioritise their workload and work under pressure at key times of the billing cycle. It is likely that your background and experience will include the following areas of expertise: • previous experience in a finance or administrative related role, preferably in a professional services environment., • strong written and verbal communication skills, with excellent attention to detail., • can build effective relationships at all levels and across departments and functions., • has strong organisation skills and a methodical approach to progressing your workload., • has excellent customer service skills and a can-do attitude to your work. The activities, • Develop an understanding of the firm's business to enable effective management of the firm's working capital, with a focus on reducing lockup supported by the Billing and Collections Managers., • Work with the eBilling Client Specialist to setup new clients or matters onto the relevant ebilling platforms or portals, working with the teams to ensure the right billing rules are set up and communicated., • Liaise with fee earners on queried eBills where appropriate , carry out agreed actions and ensure that accurate records of those actions and responses received are kept up to date., • D evelop good relationships across the business and an understanding of clients, especially where persistent ebilling problems exist., • Work with the wider finance team to develop/ maintain streamlined processes and to ensure queries are resolved promptly ., • Manage a portfolio of eBilled clients, ensuring they are billed into the Practice Management System and uploading onto platforms/portals using the eBilling Hub, working closely with the eBilling Client Specialist to ensure this is done in a timely manner ., • Deal with e-billing queries received through our eBilling portals, and/or directly into Finance Team from internal or external customers., • Liaise closely with the eBilling Client Specialist where there are issues with upload or approval, keeping track of progress and escalating any concerns promptly to relevant internal stakeholders including the Billing Manager and Collections Manager .
