This role is for someone who wants to become trusted, relied on, and valuable by making the business easier to run every day. About the Role This is the right-hand seat to the two owners of the business. You are not here to wait for tasks. You run the day. You protect the calendar, control the inbox, snowplow the obstacles, and make sure the principals stay in the activities that produce revenue. As our co-owner transitions into a full-time sales agent role, you'll take ownership of the executive support that keeps both principals focused, prepared, and productive. We run a clear, accountable performance rhythm. The right person is energized by it. The wrong person will not last a month. You'll work in-person, side-by-side with the owners, out of our Lake Tapps office. There will be opportunities for upward mobility. What You'll Own • Run the calendar. Proactively schedule and protect face-to-face appointments 1 to 2 weeks ahead. The principals should never wonder what's next., • Own the inbox. Triage, draft, and respond to email with the goal of handling 90% without principal involvement. Trained into over the first 60 days., • Theme-day execution. Each weekday has a focus. You build the call lists, prep the materials, and confirm completion daily. Drive time is call time, and you'll have the lists ready before they pull out of the driveway., • Snowplow obstacles. Lunch, vendors, errands, prep work. Anything that takes the principals out of the seat is yours to handle so they stay in revenue-producing activity., • Client gifting and handwritten thank-you card system. Pre-stamped, pre-addressed, sent on time, every time., • Video content production/Posting and Help. Coordinate and execute twice-weekly short (easy)video shoots and posting across social channels., • Tapps Business Connect event coordination. Monthly meetings, Monthly after-hours events, member follow-up., • Light real estate admin support. Listing prep, CRM data entry, document coordination. Full training provided., • Office management at our Lake Tapps location. Supplies, vendors, the day-to-day running of the space., • Occasional household and family logistics for the owners. Appointments, errands, scheduling., • Discretion. With sensitive business and personal information, always. You Are • Tech-savvy and quick to learn new platforms (Google Workspace, Canva, Zoom, ChatGPT, Claude, Gemini, Zapier, Monday etc.), • Detail-oriented to a fault. Nothing slips, nothing dropped., • A strong written and verbal communicator who can write in someone else's voice, • Warm and professional with clients, members, and the public, • Confident being held accountable and holding the team accountable to the schedule and priorities in a respectful way, • Comfortable balancing business and occasionally personal tasks for the owners, • Self-directed, and equally great at taking direction, • Comfortable being measured on outcomes, not hours, • Energized by a weekly scorecard culture, • Available Monday through Friday, with flexibility for occasional evening or Saturday events Nice to Have (Not Required) • Real estate office, brokerage, or transaction coordinator experience, • Experience supporting a small business owner, executive, or founder, • Google Workspace, • Canva familiarity, • ChatGPT and/or Anthropic(Claude) mid-level experience, • Event or community coordination background, • Active WA real estate license, or interest in pursuing one, • Spanish speaking What Success Looks Like The team is more organized, better prepared, and more consistent because of your support. Appointments are on the calendar a week or two ahead. Daily priorities are clear and completed. Follow-up happens without anyone chasing it. Email is handled. Thank-you cards go out on time. The owners know where they need to be, what needs to get done, and what is coming next. The best person for this role operates as a true force multiplier: someone who makes the team operate at a higher level every single day.
