Role Description Dog Tag Inc. (DTI) seeks a highly organized and mission-driven Program Coordinator to support the execution of the Dog Tag Fellowship and Alumni Programs. This role provides essential administrative, logistical, and operational support to ensure a seamless Fellow experience and consistent engagement with Dog Tag’s 380+ alumni. The Program Coordinator works closely with the Director of Programs & Community Impact and the Programs Team to coordinate program activities, manage communications, maintain data and reporting systems, and build strong relationships with partners, volunteers, Fellows, and alumni. This role is central to ensuring continuity and excellence across all program touchpoints. This position requires residency in the Washington, D.C., Maryland, or Northern Virginia (DMV) area to support regular in-person programming and events. Key Responsibilities & Duties Fellowship Program * Support the Director of Programs & Community Impact and the Fellowship Manager in the day-to-day coordination and execution of the Dog Tag Fellowship. * Coordinate logistics for Fellowship programming, including scheduling sessions, preparing agendas and materials, supporting classroom delivery, tracking attendance, and creating post-event summaries. * Assist with planning and implementation of major Fellowship events such as orientation, closing week, graduation week, and in-person weeks. * Communicate with program partners, guest speakers, and volunteers; coordinate follow-up tasks, such as sending thank-you notes and conducting surveys. * Maintain and organize shared program resources, including academic support materials, partner documentation, and mental health or wellness resources. * Assist with academic logistics, including ordering textbooks, supplies, and supporting the LMS. Alumni Program * Support the Director of Programs & Community Impact and the Alumni & Impact Manager in the planning, coordination, and execution of alumni engagement activities, including workshops, networking events, communications, and virtual programming. * Support maintaining accurate alumni records in Salesforce, ensuring contact information, participation history, and engagement data are up to date. * Assist in developing and distributing consistent alumni communications (e.g., newsletters, updates, opportunities, event invitations). * Assist in monitoring alumni engagement metrics and tracking participation trends to help inform program improvements and outreach strategies. * Support logistical and administrative needs for alumni programs, including scheduling, event setup, materials preparation, and follow-up. * Partner with the Director of Programs & Community Impact and the Alumni & Impact Manager to identify opportunities to strengthen alumni engagement through communications, events, and relationship-building. Data, Tracking, and Reporting * Enter and maintain accurate Fellow, alumni, and partner data in Salesforce. * Track Fellow progress, attendance, and areas of concern; elevate issues to the Director and/or Fellowship Manager as appropriate. * Compile program data for reporting, communications, development needs, and grant support. * Maintain CRM records of partner engagement and in-kind support for organizational budgeting. Recruitment & Admissions * Support execution of recruitment events (in-person and virtual) alongside program staff and alumni. * Maintain outreach lists, track referral pipelines, and monitor recruitment metrics in Salesforce. * Conduct initial application screenings and assist with interview coordination. Other Duties * Represent Dog Tag at recruitment and community events. * Participate in select evening or weekend program activities as scheduled. * Contribute to organizational projects, events, and cross-departmental initiatives as assigned. * Actively participate in meetings, organizational initiatives, and training opportunities. Qualifications Required • 2-3 years of work experience in program coordination, education, social services, nonprofit management, event planning, or related fields. Bachelor’s degree in education, social services, nonprofit management, event planning, or related fields preferred. * Excellent organizational skills with strong attention to detail. * Demonstrated ability to manage multiple tasks and deadlines in a fast-paced environment. * Strong communication skills; comfortable engaging with diverse audiences, including veterans, military spouses, caregivers, volunteers, and community partners. * High level of discretion, judgment, and professionalism. * Proficiency with Microsoft Office Suite and familiarity with CRM tools (Salesforce preferred). * Ability to work occasional evenings or weekends to support program events. * Ability to travel locally to recruiting opportunities. * Collaborative team player with strong interpersonal and relationship-building skills. * Flexible and adaptable to evolving program needs and organizational priorities. * Strong critical thinker and proactive problem-solver. * Mission-driven with a genuine commitment to Dog Tag’s social impact model. * Must live within commuting distance of Washington, D.C. (DMV area) and be available for regular on-site programming and events. Preferred * Experience working with veteran communities or adult learners. * Experience in program delivery, facilitation, or event production.
