Job Description Job Title: Procurement & Supply Chain Coordinator Location: In-person, Lubbock, TX Job Classification: This is an exempt, regular, full-time position. Job Summary The Procurement & Supply Chain Manager is responsible for managing the full procurement lifecycle for raw materials, finished goods, and services across multiple product categories & brands throughout the organization. This role ensures optimal inventory levels, accurate data management, effective supplier communication, and the seamless movement of goods to support the company’s dynamic operational needs. Flexibility, strong organizational skills, and a proactive approach are key to success in this position. Duties/Responsibilities: • Oversee the procurement process, ensuring timely generation, accuracy, and alignment with budget and inventory needs., • Track and monitor the full lifecycle of purchase orders, ensuring timely and accurate delivery., • Collaborate with suppliers and internal teams to confirm order details, negotiate pricing, and align shipping and delivery schedules., • Analyze inventory data to forecast needs, identify trends, and recommend purchasing decisions., • Review and assess factory inspection reports to ensure product quality and compliance with specifications., • Support compliance with company procurement policies and assist in developing and implementing procurement procedures., • Maintain and update supplier information and product catalogs in the ERP system., • Enter and manage critical product details, including vendor MOQs, case pack and inner pack quantities, and packaging dimensions., • Oversee and maintain SKU creation & records for all new products in Sage 300 ERP, ensuring complete and accurate item setup., • Assign and update item-level pricing to support purchasing, costing, and sales processes., • Maintain accurate records of stock levels, purchases, shipments, and supplier communications., • Manage international logistics, including ocean freight, air freight, and customs clearance for imported shipments., • Monitor and track all inbound shipments to ensure efficient port arrival and delivery to the warehouse., • Liaise with freight forwarders, customs brokers, and warehouse staff to ensure seamless movement of goods., • Coordinate with internal departments (Sales, Production, Customer Service, Product Development) to align procurement activities with business needs., • Coordinate with the Accounts Payable team to arrange vendor payments, including deposits and final balances, in alignment with purchase order terms and shipping schedules, • Strong organizational and time management skills with the ability to prioritize multiple tasks effectively., • Excellent written and verbal communication skills for interacting with vendors and internal teams., • Comfortable presenting to executive leadership and contributing to company-wide operational strategy., • Analytical and problem-solving skills with a proactive mindset., • High attention to detail and accuracy in procurement, inventory tracking, and data entry., • Strong interpersonal skills and the ability to build effective relationships., • Ability to work independently and collaboratively in a fast-paced environment., • High proficiency in Microsoft Office Suite (Excel, Word, PowerPoint); experience with Sage 300 ERP or a similar system strongly preferred., • High school diploma or equivalent required; Bachelor’s degree in a business-related field preferred., • Minimum of 5+ years of experience in procurement, inventory management, logistics, or related field., • 2+ years in a supervisory or managerial role., • Ability to remain seated for extended periods while working at a desk or computer., • Ability to lift and move office equipment or inventory up to 25 pounds when necessary., • Ability to communicate effectively in person, on the telephone, and through written correspondence.
