Office Manager — The Enrichery The Enrichery is looking for a warm, highly organized Office Manager to lead the front desk, the schedule, and the daily operations of one of our Houston-area locations. We provide one-on-one Academic Coaching, Executive Functioning support, test preparation, and college admissions services. Schedule This is a full-time, in-person position, built around the hours students are actually with us: • Monday–Thursday: 1:30 p.m. – 9:30 p.m., • Sunday: 9:30 a.m. – 6:00 p.m., • Fridays and Saturdays off Hours may be adjusted due to student and location needs. About the Role The Office Manager is both the welcoming face of the location and the person who makes sure its daily operations translate into strong business results. You will greet students by name, talk with parents in the lobby, help new families feel comfortable, and model the warm, attentive behavior we expect from our entire team. You will also own the schedules, systems, follow-ups, and operational details that keep our location full, responsive, accurate, and running smoothly. Your work directly affects the family experience, employee productivity, client retention, and location revenue. This role is ideal for someone who genuinely enjoys people and also finds satisfaction in creating order, following through on details, and making sure important tasks do not fall through the cracks. The Director–Office Manager Partnership The Location Director and Office Manager work as a complementary leadership team with distinct areas of ownership. The Director focuses primarily on growing the location, developing employees, and strengthening client relationships. The Office Manager provides the proactive operational discipline that turns those priorities into results. You will know what needs to happen each day, monitor important numbers, anticipate routine needs, and follow through until issues are resolved. When the Office Manager is doing the job well, the Director can confidently focus on leading and growing the location because the operational details are under control. What You’ll Own A Warm and Welcoming Client Experience • Serve as the front desk and primary face of the location, warmly greeting students, parents, and employees and building genuine relationships with families and staff, • Model The Enrichery’s expectations for hospitality, professionalism, and care, • Notice when someone needs assistance and step in without waiting to be asked, • Respond to client questions and concerns with patience, good judgment, and appropriate urgency Scheduling, Capacity, and Client Retention • Ensure new families move smoothly from enrollment to their first scheduled session, • Maintain accurate student and Academic Coach schedules, maximizing both employee and student calendars, • Communicate schedule changes clearly and resolve conflicts promptly, • Prevent scheduling errors through careful review and follow-through, • Proactively address cancellations and help preserve sessions whenever possible New Families, Billing, and Systems • Ensure every new family receives timely follow-up, • Maintain accurate records in our CRM (Zoho), Monday.com, Google Workspace, and The Enrichery’s scheduling system, • Keep active opportunities and client records current as families enroll, complete services, or decide not to move forward, • Follow up on past-due invoices and outstanding client balances (accounts receivable) and help keep client accounts accurate, • Track open tasks, deadlines, and follow-ups through completion, • Maintain clear checklists, procedures, and operational documentation, • Monitor scorecard results and take action when an important number is off track Office and Team Leadership • Keep the office clean, organized, well-stocked, and ready for students, • Manage office supplies responsibly and stay within established spending guidelines, • Prepare the location for meetings, events, and important client activities, • Support consistent employee onboarding and offboarding, • Communicate important operational information to the Location Director and team How Success Is Measured A successful Office Manager helps the location achieve: • A consistently warm, organized, and professional experience for every family, • Accurate, maximized coach and family schedules, • Prompt follow-up with every new family, • Minimal past-due invoices, • Fewer cancellations and more sessions preserved, • Accurate, up-to-date information across company systems, • Responsible management of office expenses You’ll Thrive in This Role If You Are • Warm and service-minded: You genuinely enjoy talking with students, parents, and coworkers, and you take pride in making things easier for them., • Highly dependable: When you say you will handle something, others can trust that it will be completed., • Detail-oriented and accurate: You notice errors, missing information, and unfinished tasks before they create larger problems, and you care about completing work correctly, not simply quickly., • Organized: You naturally keep track of schedules, deadlines, follow-ups, and recurring responsibilities., • Process-driven: You appreciate clear expectations, established procedures, checklists, and consistent routines., • Proactive: You notice what needs attention and take appropriate action without waiting for direction., • Calm and steady: You can manage changes, competing priorities, and client concerns without becoming scattered., • Comfortable with numbers: You understand that schedules, fulfillment, cancellations, and unpaid balances affect the health of the location., • Team-oriented: You enjoy being a trusted counterpart who helps the Director and the entire location succeed.
