Job Description TITLE: Accountant PERFORMANCE PROFILE SOURCE: Individual Contributor DEPARTMENT: Finance REPORTS TO: Manager of Finance FLSA STATUS: Exempt WORKER CATEGORY: Full-Time EMPLOYMENT FUNCTION: Professional POSITION SUMMARY: The Accountant delivers timely and accurate financial reports for internal and external use. The role ensures the maintenance of precise and up-to-date financial records by entering, processing, and reconciling transactions in accordance with established procedures and formats. This position identifies and analyzes financial trends, assists in payroll and grant accounting, and supports audits. A key part of the role is ensuring compliance with applicable regulations, laws, and best practices while proactively refining internal controls and seeking opportunities for operational excellence and quality improvement. ESSENTIAL JOB RESPONSIBILITIES: Financial Operations & Reporting • Prepare and deliver timely and accurate monthly, quarterly, and annual financial reports., • Ensure transactions are entered, processed, and reconciled in accordance with established procedures and formats., • Identify and analyze financial trends that support organizational efficiency and effectiveness., • Support the development, refinement, and implementation of Standard Operating Procedures, guidance documents, business processes, and accounting policies to strengthen internal controls., • Reconcile assigned accounts monthly and investigate variances as needed., • Assist with the preparation and support of external audits. Grant & Restricted Fund Accounting • Review and set up restricted funds according to organizational policies and grant agreements., • Assist with preparing grant financial reports (Budget vs. Actuals), invoices, and documentation as assigned., • Collaborate with programmatic teams to ensure the completeness and accuracy of grant accounting records., • Maintain up-to-date grant records, agreements, and communications, and perform required monthly reconciliations of restricted grants., • Support grant reporting schedules and maintain documentation required for audits and funder requests. Payroll Administration • Gather, input, and process all payroll data (bi-monthly) for hourly and salary employees of the organization., • Partner with HR to compute payroll by state and federal government laws, regulations, and required withholdings., • Assist employees and managers with payroll issues and queries., • Prepare quarterly payroll reports, reconcile payroll-related general ledger accounts, make necessary journal entries, and maintain payroll documentation., • Assist HR and the Manager of Finance in determining quarterly employee plan entry eligibility for 401K Safe Harbor Match and NEC profit-sharing plans. Audit & Compliance • Serve as a key point of contact for external auditors, managing audit preparation and support., • Ensure all financial procedures, practices, and records comply with relevant regulations, laws, and best practices., • Respond to audit requests related to financial and grant activities., • Follows all record-keeping standards for payroll and contracts. Technology, Systems & Continuous Improvement • Update financial information and maintain proficiency in ERP/accounting systems and other technology platforms., • Apply advanced Excel and analytical skills to perform reconciliations, prepare budgets, and interpret complex financial statements., • Seek opportunities for process automation and integration, including learning new tools, Robotic Process Automation (RPA), and AI in accounting functions., • Collaborate with Finance & Accounting, Grants, HR, and Operations leaders to publish and maintain Standard Operating Procedures for the accounting functional area., • Proactively refine internal controls to ensure financial integrity and reduce administrative overhead. QUALIFICATION REQUIREMENTS: (Knowledge, Education, Experience & Skills) Education: • Bachelor's degree in finance, accounting, business, or related field from an accredited college or university. Experience: • Minimum of two years of nonprofit or grant accounting, grant management, and compliance oversight., • Experience with ADP Workforce Now for Payroll, • Demonstrated knowledge of finance/payroll/CRM software, particularly ADP, Financial Edge, Sage, and Salesforce., • Demonstrated proficiency in U.S. GAAP, accounting principles, and financial reporting., • Experience administering bi-monthly payroll and supporting compensation and benefit plans., • Solid understanding of grant funding and compliance regulations (including CFR Part 200)., • Excellent written and verbal communication, including cross-departmental collaboration., • Ability to handle sensitive financial and personnel information confidentially and professionally., • Strong analytical skills, with attention to detail., • Advanced Excel and ERP system skills., • Excellent verbal and written communication skills., • Advanced Proficiency in Microsoft Office Suite, especially Excel., • Strong analytical mindset and problem-solving skills., • Demonstrates initiative and independence in executing responsibilities., • Consistently seeks opportunities for quality improvement and operational excellence., • Valid driver's license, good driving record, and consistent access to a vehicle with appropriate insurance coverage., • Commitment to the mission, vision, and values of Boys & Girls Clubs of Central Florida. KEY ROLE COMPETENCIES: Financial Acumen • Applies solid accounting knowledge to ensure transactions and reports are timely, accurate, and compliant with internal procedures and applicable regulations., • Delivers on commitments and maintains high standards of accuracy and ethical conduct in all financial operations., • Identifies, implements, writes SOPs, and shares best practices to improve work processes and financial workflows across departments., • Employs technology and accounting systems (e.g., Excel, ERP, ADP) to enhance productivity and accuracy., • Handles multiple priorities, deadlines, and regulatory requirements with attention to detail and sound judgment., • Navigates nuanced grant, payroll, and accounting rules; identifies and resolves issues, escalating as appropriate. ENVIRONMENTAL AND WORKING CONDITIONS: • The position requires working in both indoor and outdoor environments of an office or club setting, which may involve exposure to varying weather conditions., • Ability to read and interpret documents such as safety rules, operating instructions, and policy manuals., • Required to operate a motor vehicle for site visits and training events., • Work in environments frequented by children and families, requiring adherence to safety and conduct standards that ensure a child-friendly and family-oriented atmosphere., • This role will have a standard and predictable full-time work schedule. However, all staff must be adaptable to a dynamic work schedule, including evenings to support club activities and events. PHYSICAL AND MENTAL REQUIREMENTS: • Physically capable of performing programming activities and club duties on-site, including lifting up to 30 pounds, standing, sitting, or walking for extended periods, bending, and reaching., • Operates a computer and other office productivity equipment such as a copy machine, phone, printer, and tablet frequently. Requires the ability to work on a computer for extended periods (8+ hours), including performing tasks that involve repetitive motion, visual focus, and fine motor skills, • Visual and auditory acuity to monitor the environment and ensure safety standards are maintained., • Mental resilience and the ability to stay focused and effective in a busy, sometimes noisy environment., • Capacity to handle multiple tasks simultaneously and prioritize effectively., • Strong interpersonal skills to interact positively with children, family members, and other staff., • Exposure to outdoor weather conditions (occasionally).
