Primarily responsible for daily cosmetic, plastics and esthetic operations of the Practice while supporting all aspects of the cosmetic patient experience. Directly oversees the Skin Science, Esthetics, and Concierge/Plastics teams, staffing, training, and processes for growth and development in all aspects. Serves as the subject matter expert on cosmetic, esthetic, and plastic surgery treatments, as well as skin care and wellness, ensuring proper communication and education between physicians, mid-level providers, associated management teams, and patients. • Daily management and oversight of Cosmetic Concierges, Skin Science Brand Manager , Skin Science Ambassadors, Cosmetic Concierges, and Estheticians., • Management and direction of the Cosmetic Concierge team for consultations, Estheticians and team productivity, and Cosmetic product patient experience., • Manage and review duties with staff members to ensure they are being completed accurately and in a timely fashion., • Conduct cosmetic, store and esthetician departmental meetings and huddles for effective and efficient work flow., • Hire and train the Skin Science Ambassadors, Estheticians and Concierge team., • Collaborate with each employee that reports to the Director of Cosmetics; provide performance evaluations that are timely and constructive including coaching, counseling, and analyzing variances in monthly and quarterly sales; initiating corrective actions along with HR manager., • Support the Skin Science Brand Manager to set up and manage goals of Skin Science ambassador staff., • Collaborate and partner with Financial Director to communicate Profit and Loss, reports, weekly goals to meet quarterly bonuses for Skin Science Brand Manager, Skin Science ambassadors, Estheticians and Concierge teams., • Evaluate and utilize supervisory techniques to solve problems and implement interventions where required., • Demonstrate initiative and independent critical thinking skills when both working independently and while leading a team., • Ensure business goals, deadlines and performance standards are met., • Treat all patients and other staff members with respect., • Attend and contribute to meetings as required, • Ensure and deliver appropriate training for staff as required Inventory Management: • Oversee weekly, bi-weekly, monthly, quarterly and/or as needed inventory analysis; identifie and resolve discrepancies and problems., • Communicate quarterly with Medical Director, providers, estheticians, cosmetics retail store staff, and marketing on new items for review and/or discontinuing, sharing final decisions with all staff., • Review and manage backbar products, esthetic consumables, cosmetic consumable inventory and stock, monthly., • Send purchase orders to the appropriate vendors, and order the approved inventory., • Manage and audit physical counts of retail products, backbar products, as well as cosmetic consumables, weekly and monthly., • Run and analyze monthly, quarterly and annual cosmetic procedure, product sales, esthetician productivity and device reports, with Medical Director and Financial Director., • Create, review and communicate actionable initiatives derived from reports related to the Skin Science, Esthetician and Concierge team., • Reconcile the monthly Chicago Skin Science expenditures., • Advise and educate departments and practice on pertinent cosmetic/esthetic information and updates, monthly and as needed. Arrange and provide cosmetic product and device training to new hires., • Manage patient elements of the Skin Spa and Cosmetic Memberships( gift cards, coupons, Memberships)., • Provide KPI information to esthetician providers, quarterly, with Financial Director., • Oversee equipment and preventive/annual maintenance, and coordinate repairs., • Coach and guide, with the development and coordination of plans and procedures, for cosmetic and esthetic operations., • Demonstrate continuous effort to improve cosmetics, esthetics and skin science operations, and streamline work processes., • Prepare and present formal and informal instruction to staff members., • Assist in the management of approving and scheduling employee treatments, accounting for staff points available, provider times available and order in which requests are received., • Coordinate employee/patient treatment for training activities as required., • Update job knowledge by participating in educational opportunities., • Keep abreast of trends in market, share new ideas/products with Marketing, for monthly and event promotions with Medical Director., • Provide strategic planning for Skin Science with Medical Director., • Oversee inventory and information systems, policies and procedures; create and update pertinent Standard Operating Procedures (SOPs) annually., • Analyze costs, pricing, variable contributions, sale results and the company's actual performance; compare to business plan/budgets, quarterly., • Ensure adherence to approved budget for purchasing of consumables, obtaining final approval from Medical Director., • Work closely with the Medical Director, Financial Director and other leadership to ensure smooth operation workflow for Skin Science, Estheticians and Cosmetic Concierges., • Work with the marketing team to update in-office materials, monitor videos, and training materials., • Other duties as assigned by the Medical Director. Education and Experience • College degree and experience in a medical setting in dermatology, cosmetic and/or plastic surgery, • 3-5 years of cosmetic surgery/plastic surgery experience preferred, • 2-3 years of sales experience preferred Physical Requirements and Environmental Conditions • Work is performed during regular work hours, but may require overtime and/or weekend hours to meet deadlines., • Work in varying degrees of temperature (heated or air conditioned)., • Position requires sitting for 4-6 hours per day and walking for 2+ hours per day., • Position requires light to moderate work with 50 pounds maximum weight to lift and carry., • Position requires reaching, bending, stooping, and handling objects with hands and/or fingers, talking and/or hearing, and seeing., • Must possess the physical and mental abilities to perform the tasks normally associated with a Medical Administrative Assistants such as manual dexterity to operate office machines including computer and calculator; stooping, bending to handle files and supplies, mobility to complete errands or deliveries, or sitting for extended periods of time. Stress can be triggered by multiple staff demands and deadlines.
