Job DescriptionWe are seeking a highly organized and detail-oriented Executive Administrative Assistant – Real Estate Practice to provide high-level administrative and document support to a busy commercial real estate practice group. This role supports attorneys and senior professionals through all phases of commercial real estate transactions, including acquisitions, dispositions, leasing, financing, and development projects. Prior commercial real estate experience is not required; however, strong administrative, document management, and organizational skills are essential.The ideal candidate is proactive, polished, and thrives in a fast-paced professional services environment where accuracy, discretion, and efficiency are critical.Key Responsibilities • Prepare, revise, edit, and format a wide range of documents including contracts, agreements, correspondence, and transaction-related materials., • Transcribe dictation, handwritten notes, or rough drafts from attorneys and team members accurately and efficiently., • Perform advanced document functions such as mail merges, template application, macros, tracking changes, document comparisons (blacklining/redlining), and file conversions (PDF/Word)., • Proofread and edit documents to ensure accuracy, consistency, and professional presentation., • Scan, clean, repair, OCR, and convert documents; troubleshoot formatting issues in legacy or externally received files., • Maintain organized electronic and physical files, including document management in systems such as NetDocuments or iManage., • Utilize advanced software tools including Microsoft Word, Excel, PowerPoint, Outlook, and PDF software (Kofax, Adobe Acrobat, or similar)., • Prepare routine correspondence, memoranda, reports, and emails on behalf of the team., • Provide general executive-level administrative support, including calendar management, scheduling meetings, coordinating travel, answering phones, and handling office-related tasks as needed., • Handle confidential and sensitive information with professionalism and discretion.Qualifications & Requirements, • High school diploma or equivalent required; associate’s or bachelor’s degree preferred., • 5+ years of experience in an executive administrative, senior administrative assistant, or professional services support role., • Advanced proficiency in Microsoft Office Suite, particularly Microsoft Word (formatting, styles, templates, and document comparisons)., • Experience with document management systems and e-signature platforms (DocuSign, Adobe Sign) preferred., • Strong organizational and time-management skills with the ability to prioritize effectively in a fast-paced environment., • Exceptional attention to detail, proofreading ability, and commitment to producing error-free work., • Professional demeanor and ability to work with discretion in a confidential environment., • Experience with legal or professional services software tools (e.g., Litera, NetDocs, Kofax, Nuance, or similar) is a plus.#vipstaffing #zrsac
