More information about the company can be found at Summary: The Administrative Services Manager will serve as a trusted advisor to the Chief Strategy Officer and will manage a team of administrative professionals. This position is responsible for organizing and coordinating office operations, procedures, and resources to facilitate organizational effectiveness and efficiency. It will also manage projects and support high-priority initiatives to achieve maximum productivity and provide expense control for FBD Headquarters. Essential Duties and Responsibilities: • Support the Executive Leadership Team by driving team alignment, providing strategic insights, and ensuring preparedness in advance of meetings and events., • Prepare reports and presentations to highlight key insights and operational progress., • Analyze performance metrics and develop actionable strategies for organizational improvement., • Manage office activities and evaluate administrative staff to achieve maximum productivity. Set goals and identify development needs for the department., • Develop, review, and implement administrative team processes, procedures, systems, and controls to include records maintenance and document preparation to provide historical reference., • Track and analyze operational costs and maintain office efficiency by enforcing department regulations, guidelines, budgets, and timelines., • Purchase and oversee maintenance, repair, and replacement of office equipment and general office repairs; ensuring office areas are well maintained. Manage/assist with office equipment contract and agreement negotiations, maintain agreements, and develop renewal schedules., • Oversee mail and messenger services, manage office support functions, and coordinate printing and telecommunications services with the IT department., • Achieve financial objectives by preparing an annual budget, scheduling expenditures, analyzing variances, and initiating corrective action as needed., • Liaise with senior management to ensure support expectations are being met., • Ensure interdepartmental requests are addressed on time to promote internal and external customer satisfaction., • Oversee employee travel and support executive travel schedules, including planning, expense reporting, and related tasks as needed., • Utilize the Enterprise Resource Planning (ERP) system, IFS to complete expense reports, purchase requisitions, purchase orders, invoicing, and reconciling., • Partner with Human Resources to oversee and streamline onboarding of new employees., • Coordinate and lead companywide events including employee luncheons and the annual company picnic., • Perform other duties as needed and assigned. Minimum Qualifications - Education/Experience: • Must possess a Bachelor’s Degree in Business Administration or related field., • Must have a minimum of 3 years of experience supervising a team., • Must have a minimum of 5 years of experience in a similar role., • Prior experience as an Executive Assistant strongly preferred., • Proven track record of managing complex projects and leading cross-functional teams., • Strong analytical skills with the ability to interpret data and make data-driven decisions., • Exceptional communication and interpersonal skills, with a demonstrated ability to influence stakeholders at all levels., • Ability to thrive in a fast-paced, dynamic environment with shifting priorities., • Experience exercising discretion and confidentiality with sensitive company information., • Excellent organizational skills and attention to detail, with a commitment to quality and excellence., • Prior experience navigating through ERP/purchasing software a plus., • Proficient with MS Office (Word, Excel, PowerPoint, and Outlook) and Applicant Tracking Systems., • Must be able to pass a background check, drug test and a reference check. Physical Demands: • Approximately 10% travel, variable depending on business needs., • Required to stand, walk, kneel, reach, grasp, type, have eye/hand/foot coordination, occasionally sit, lift, carry, balance and crawl., • Ability to lift and/or move up to 20 pounds., • This position works in a typical office; however, must travel back and forth through a manufacturing facility as needed., • Clarity of vision, including the ability to appropriately differentiate colors., • Ability to hear, understand, and distinguish speech and other sounds.
