With a recently appointed CFO in place, Executive Mosaic is actively exploring the use of strategic capital to accelerate top-line growth and pursue acquisitions that add technology, talent, and market reach to the platform. Executive Mosaic now has a roadmap to $20 million and beyond, this is an opportunity to join a proven, profitable business at a pivotal inflection point. The Opportunity Executive Mosaic is hiring a Director of Operations to serve as the CEO’s primary operating partner and the connective layer across the company’s senior leadership team. This is a newly created position designed to build the operational backbone required to support the company’s next phase of growth. The role carries two parallel mandates. First, the Director will work alongside our current Director of Operations during a structured transition period, documenting and gradually assuming responsibility for core administrative and operational functions before her planned retirement in December 2026. Second—and equally important—the Director will serve as the CEO’s day-to-day delegate, providing structured access and accountability between the CEO and every member of the senior team. This is not a maintenance role. The Director will be expected to evaluate how every operational function is performed today and make informed recommendations about what should be outsourced to best-in-class external partners, what should be automated through AI and technology, and what should be retained in-house. The goal is a lean, high-performance operating model—not a replication of the current one. This role carries real authority. The Director will participate in all hiring decisions, approve vendor engagements alongside the CFO and CEO, and take an increasingly active role in managing the company’s EBITDA. Compensation is tied directly to profitability, giving this person meaningful influence over both revenue growth and expense discipline—and a direct stake in the financial outcomes they help create. Executive Mosaic is approaching a critical strategic milestone. The company is preparing to explore outside capital to accelerate growth, pursue acquisitions that bring new technology and talent into the platform, and expand its market position. The Director of Operations will play a central role in building the operational foundation required to support this next chapter. For the right candidate, this role is a direct proving ground for elevation to Chief Operating Officer. Key ResponsibilitiesOperational Transition & Systems Building • Shadow, document, and progressively assume all functions currently managed by the outgoing Director of Operations, including accounts receivable, accounts payable, payroll, HR administration, IT coordination, facilities management, and vendor oversight., • Conduct a comprehensive assessment of each operational function and develop a phased outsourcing and automation plan, identifying external partners for functions such as payroll, HR, IT, and accounting., • Collaborate with the company’s CFO to ensure financial reporting, budgeting, and cash management processes are accurate, timely, and aligned with growth targets., • Participate in all hiring decisions across the organization, leveraging responsibility for human resources to ensure the company attracts and retains top talent., • Approve vendor engagements and contracts in coordination with the CFO and CEO, operating within defined signature authority levels that will expand with demonstrated performance., • Take an active and increasing role in managing company EBITDA, with direct influence over both revenue generation strategy and expense management., • Serve as the CEO’s primary operational delegate, managing daily interaction and follow-through with all members of the senior leadership team., • Manage the company’s weekly performance reporting system, reviewing and providing substantive feedback on individual accomplishment reports across both domestic and international teams., • Facilitate the senior team’s standing meeting cadence and ensure that key performance metrics, priorities, and cross-functional issues are surfaced and resolved efficiently., • Oversee the company’s enterprise systems environment, including Salesforce and a fully integrated suite of other software products., • Partner with the CEO to identify and implement AI-enabled automation across operations, reducing repetitive workloads and improving decision-making speed., • Bring a healthy and passionate interest in AI products and their integration into legacy business architecture, with a willingness to help develop AI agents that multiply and amplify the company’s capabilities., • Provide operational oversight for company staff based in the Philippines who support US business hours, ensuring alignment on priorities, performance standards, and communication cadence., • Coordinate across a 12-hour time zone difference, maintaining structured touchpoints with international team members and their local supervisors. Qualifications Required: • Minimum seven years of progressive experience in operations management, business operations, or a related discipline, with at least three years in a leadership role managing cross-functional teams., • Demonstrated track record of building operational systems, processes, and accountability structures in a growth-stage or scaling environment., • Experience evaluating, selecting, and managing third-party service providers across functions such as payroll, HR, IT, and finance., • Strong financial acumen, including experience managing departmental budgets, collaborating with finance leadership, and interpreting accrual-based financial statements., • Proven ability to work directly with a CEO or founder as a trusted operating partner, exercising sound judgment, discretion, and initiative., • Comfortable managing distributed teams, including international staff operating across significant time zone differences., • Proficiency with cloud-based business platforms; experience with Salesforce is a strong plus., • Experience in government contracting, defense, or federal services media and events., • Familiarity with business intelligence and dashboarding platforms., • Experience implementing or managing AI-enabled workflow automation., • Prior experience in a company that successfully transitioned operational functions from in-house to outsourced models. Compensation & Benefits Base Salary: $125,000–$160,000, commensurate with experience. Variable Compensation: Will be tied directly to company EBITDA performance—reflecting both revenue achievement and disciplined expense management (accrual basis). Senior team compensation at Executive Mosaic is uncapped; leaders who facilitate significant growth or overachieve against their goals participate directly in the financial upside.
