The Administrative Assistant serves as a liaison between departmental staff, management, and external stakeholders, ensuring that communication is clear and effective. Responsibilities • Perform a variety of administrative duties such as answering phones, typing letters, filing, sorting and distributing mails for the department., • Coordinate and maintain office operations by maintaining files, ordering supplies, and performing relevant duties for senior management, ensuring the efficient functioning of the office., • Maintain and track a variety of records and files, including receiving and routing mail, publications, department messages, reports, and indicator boards, and scheduling appointments., • Operate a computer system with a printer, copier, fax machine, and other office machines to ensure smooth and seamless operations., • Process and submit management expense reports, while ensuring the confidentiality and accuracy of sensitive information. What You’ll Do (included but not limited to): • Configure services, Understand all relevant paperwork and work orders with attention to special notes and directions regarding client preferences., • Make phone calls for call-ahead services and alert clients by email where appropriate., • Involvement and participation in posting data for sales and payments and assisting Billing Manager in Billing Department as directed. Reconciliations and data management as directed., • Assist with incoming phone calls for client assistance and customer service., • Create invoices to assist billing department when required., • Route incoming phone calls to various personnel., • Type work orders and proposals, and perform additional administrative work as directed by Office Manager., • Assist with pulling of files for payment and copying checks, A/R management, and Purchase Order system., • Ensuring client records are current, filing duties as required., • Excellent telephone manner and customer service skills are essential., • High level time management and organizational skills required., • Proficiency in Microsoft Office Suite, QuickBooks, Internet and Database Systems desired (we will train on our programs)., • 2+ years of experience in similar role., • Accuracy and attention to detail a must., • Ability to work in a fast-paced environment., • Associates degree or higher is preferred. DUTIES AND RESPONSIBILITIES: • Greet and assist clients and visitors who enter the facility, • Perform administrative duties such as typing reports, letters/memos etc. Assist with the preparation of assigned reports, • Assist with the collection of monthly statistics, • Provide assistance with file maintenance, • Call clients to remind them of upcoming appointments with employment service staff, • Assist with ordering of office supplies and maintaining supply inventory, • Responsible for receiving/distribution of all mail, correspondence and supplies, • Answer phone calls and provide excellent customer service and provide program information, • Interact regularly with Westhab clients and perform outreach calls to existing clients Associates degree with a minimum of 2 years’ experience in an administrative position or equivalent; ability to use Microsoft Word for Windows, as well as knowledge of spreadsheets and database programs using Microsoft Excel.
