Job Description HEALTHCARE SOFTWARE SYSTEMS ADMINISTRATOR: Full-Time The Information Services team at Valley Hope is growing as we adding this key position of Healthcare Software Systems Administrator. Reporting to the Enterprise Applications Manager this position will serve as the primary administrator for the organization’s core healthcare software solutions, including EMR, CRM, and RCM systems, third-party add-ons, and integrations such as AI-powered tools, medication management applications. This position will office out of one our facilities in the Kansas City or Denver metro area. After 90 days, the option for work from home may be available. EDUCATION & EXPERIENCE Required: • Associate degree in healthcare information management, computer science information technology, or related field; or equivalent work experience., • Two (2) plus years of work experience in healthcare information systems, Electronic Medical Records (EMR), Customer Relationship Management (CRM), and/or Revenue Cycle Management (RCM) administration, or healthcare IT support., • Experience with EHR system configuration, user management, and technical support., • Knowledge of healthcare workflows, clinical documentation, and regulatory requirements (HIPAA, 42 CFR Part 2, Joint Commission, etc.)., • Bachelor’s degree in healthcare information management, computer science, information technology, or related field., • Four (4) or more years of experience in healthcare information systems, with demonstrated expertise in the administration and support of Electronic Medical Records (EMR), Customer Relationship Management (CRM), and Revenue Cycle Management (RCM) systems., • Previous experience with vendor management and technical support coordination. JOB SUMMARY: • Serves as the primary administrator for the organization’s core healthcare software solutions, including Electronic Medical Record (EMR), Customer Relationship Management (CRM), and Revenue Cycle Management (RCM) systems, third-party add-ons, and integrations such as AI-powered tools, medication management applications. Provides administrative support for other organizational software systems as assigned., • Manages day-to-day healthcare software system configuration, user administration, template and form builds, and release communication., • Provides technical support to end users by troubleshooting system issues, offering guidance on functionality, and escalating out-of-scope problems to vendor technical support under Manager direction. Submits and tracks vendor support tickets through their full lifecycle to ensure timely resolution., • Creates and maintains user access roles, security permissions, and system templates to support workflows and regulatory compliance., • Coordinates and communicates system releases, updates, and enhancements to stakeholders; ensures proper testing and validation of internally controlled changes after implementation., • Submits and tracks trouble tickets and enhancement requests with software vendors; communicates directly with vendor technical support teams for resolution of operational issues, under Manager direction., • Performs hands-on configuration and backend system support; collaborates with the Business System team to optimize workflows., • Provides system-focused training on functionality, configuration changes, and new features; collaborates with SMEs and training staff to ensure technical content is integrated into organizational training programs., • Attends vendor user conferences, training sessions, and professional development opportunities to stay current with system capabilities and best practices., • Participates in organizational change committee meetings as a subject matter resource, providing technical expertise on system-related process improvements and implementations without decision-making authority., • Works closely with the Manager to support operational vendor communications for ticket resolution and troubleshooting; does not manage vendor performance or contracts., • Performs functional requirements analysis and technical testing of system changes to ensure they meet organizational needs and regulatory requirements., • Performs configuration and technical testing of AI-enabled application features under Manager direction; provides results to the Manager for review., • Maintains audit trails of system changes and documents recurring or complex issues; identifies trends and contributes to knowledge base resources., • Supports security audits and enforces established policies and safeguards to meet HIPAA and other regulatory requirements. SKILLS & ABILITIES: • Demonstrated ability to work with and maintain sensitive and confidential information., • Strong technical aptitude with ability to quickly learn and master complex software applications and system configurations., • Excellent problem-solving and analytical skills with attention to detail and accuracy., • Strong oral and written communication skills with the ability to explain technical concepts to non-technical users., • Ability to work independently and manage multiple priorities in a fast-paced environment., • Self-directed and motivated to accomplish tasks, meet objectives and committed timelines, • Responsive and flexible; ability to adapt to changes in technology and organizational needs., • Strong customer service orientation with ability to support users with varying technical skill levels., • Ability to collaborate effectively with cross-functional teams including clinical staff, IT personnel, and external vendors., • Critical thinking skills to evaluate system functionality and recommend improvements., • Proficient in MS Office applications, including Outlook, Word, Excel, and Teams., • Stays current with technology, industry trends, and shares knowledge with the team. WORK ENVIRONMENT: • Office or remote setting with traditional hours; must be available after hours for system maintenance and emergency support as needed., • Remote work may be available after 90 days based on performance and manager discretion. If working remotely, must maintain a secure and private workspace to ensure compliance with Valley Hope’s data privacy and security policies., • Must use an organization-approved device, either company-issued or personally owned and enrolled in the Mobile Device Management (MDM) program., • Sitting for extended periods of time., • Must be able to work at a rapid pace for long periods of time., • Able to lift and carry at least 30 pounds, • Able to push, pull, pull up, bend at the knees and waist, twist body at the waist, raise and hold arms overhead, turn head‐neck‐shoulders as needed, grasp other items with hands, for either extended periods of time or many times throughout the workday., • Must be able to travel – estimated at 5-15% of the time. #ZR
