Job Description Full job description Position Overview: The purpose of this position is to supervise and oversee the business activities of the clinic. These duties include hiring and training staff, human resources and payroll, working with the medical director in setting fees, maintaining inventory and an inventory control system, maintaining smooth daily business operations, implementing safety and security procedures, procurement of supplies and equipment, and maintaining client satisfaction. Emphasis is placed on creating a positive work culture and ensuring high-quality patient care and customer service is provided. Work Requirements • Ability to stay on task and work for entire shift, sometimes exceeding 10 hours per day due to client needs and work volume. The Practice Manager must be able to effectively and accurately manage, delegate, or perform the following duties that include but are not limited to: Human Resources • Oversees the hiring, managing, and termination of staff. Ensure labor laws are followed., • Maintains and trains a team that effectively and efficiently executes assigned functions., • Resolve staff issues. Trains staff in conflict-resolution techniques., • Work with the owner on scheduling the staff and veterinarians., • Handles Health Benefits enrollments, terminations, and changes for staff as needed, including annual open enrollments., • Reviews the ACA annually to ensure compliance., • Develops and updates the employee handbook, job descriptions and employee personnel files. • Maintains and updates Procedure Manual regularly and train the staff on these procedures. • Schedules annual performance reviews for staff. Sets performance goals at these reviews. Helps staff create feasible plans for obtaining these goals. Holds staff accountable for failure to reach these goals. Propose salary adjustments and ensure we are competitive in the marketplace. • Conducts and/or assists team leads with OSHA training and ensures clinic is OSHA compliant. • Maintains California State Compliance posters annually, or as changes are made., • Acquires independent contractors, i.e., Relief Veterinarians or Relief Registered Veterinary Technicians, as necessary to accommodate for time off, personal leave or medical leave. • Remains up to date with any labor law changes and makes necessary updates. Finance and Accounting • Works with payroll manager approving payroll twice monthly., • Process manual payrolls as needed for terminations or bonuses., • Report Workers Compensation monthly., • Monitors Accounts Receivable. Keeps receivables lower than 2% of gross revenue. Collects on delinquent accounts and returned checks monthly. Clients will be sent to collections as a final step. • Adjusts employee invoices for employee discounts weekly. Provides employees with their balance owed each paycheck. Alerts employees if their balance owed puts them at risk of losing their discount per employee handbook. • Monitors Accounts Payable. Ensures all bills are paid promptly and there is sufficient cash flow. • Ensures that all the accounting entries in QuickBooks are accurately logged and classified with supporting documents, including Care Credit split for revenue vs bank charges. • Reviews previous day& daily deposit report, identifying discrepancies and informing the closing Customer Service Representative (CSR). • Making weekly bank deposits and ensure sufficient change is available for CSR., • Reconciles monthly vendor statements., • Runs monthly financial reports and reviews with owner., • Provides information to CPA annually for tax planning and tax returns., • Works with payroll company on year-end W-2’s for employees, and bookkeeper on 1099’s for independent contractors. • Ensures minimum wage is changed annually based on the state ruling., • Remains updated on annual changes or reporting needs for Earned Income Tax Credit (EITC). • Works with payroll company to ensure the FUTA tax and Unemployment Rate percentages are accurate and updated as necessary. • Reviews fees for services and procedures annually and works with medical director to revise them as needed. • Monitors annual Continuing Education budgets for licensed staff members. Inventory • Establishes and manages an inventory control system to ensure availability of adequate medical supplies. • Performs periodic inventory audits and removes expired products., • Performs a year end audit and providing the CPA with the value of inventory., • Monitors controlled drugs and ensures proper reporting is completed., • Ensures credit(s) for return(s) are received from vendor., • Negotiates best prices with vendors., • Trains additional staff members to place food and/or office supply orders., • Adjusts product prices in software so clients are charged appropriately., • Resolves free-dose submissions monthly. • Operations Equipment and Facility Maintenance • Ensures facility gives clients a great impression from the outside as well as the inside., • Facilitates regular maintenance and fixing of all medical equipment, hardware/software, and facility. • Works with property manager for any issues that is covered by the landlord., • Ensures compliance with VMB requirements. Client Relations • Leads a team that promotes a high level of customer satisfaction, resulting in a high customer retention rate. • Works with team to resolve customer complaints, taking on the lead role as needed., • Responds to social media reviews., • Evaluates our Rescue Program pricing structures annually and makes changes as needed. Communicates any changes to the impacted rescue groups. • Marketing Administrative Culture and Work Environment • Motivates staff and helps build and maintain morale. Maintains core values and standards. Create a happy work environment. • Serves as a representative of the clinic, displaying courtesy, tact, consideration and a positive attitude in all interactions with clients, patients and other staff members. Lead by example. • Holds monthly staff meetings, including a component of mandatory training on standards of service and care. • Promotes a cooperative working environment among staff members; understands the value of teamwork. • Enthusiastically fills in other job roles as necessary in order for the clinic to continue to function smoothly. Competencies: Qualifications: • Licensed Registered Veterinary Technician preferred.
