The American College of Osteopathic Family Physicians (ACOFP) is looking for a Medical Education Coordinator to join our team! Reporting to the Manager of Professional Development, the Medical Education Coordinator supports the operational delivery, compliance, and continuous improvement of ACOFP's accredited educational programs. Responsibilities include managing CME/CE workflows, credit reporting, presenter coordination, and maintaining audit-ready documentation aligned with accreditation standards. The coordinator serves as a liaison with joint providers, faculty planners, and external partners to ensure compliance throughout the lifecycle of educational activities while supporting grant-funded programs, formative assessments, and strategic initiatives through data coordination, reporting, and operational oversight. WHAT GREAT BENEFITS WE OFFER: • Competitive Salary - (range of $58,000 - $65,000), • Up to 9% Bonus potential, • Immediate 401k eligibility with 6% gross salary contribution, • BlueCross/BlueShield Medical Coverage PPO, • Dental Coverage 100% company paid for employees and dependents, • 10 vacation days accrued per year; one additional day added per year to a max of 20 days, • Up to 7 sick days accrued per year, • 12 paid holidays and 2 additional floating holidays, • Costco Annual Membership company paid HOW YOU'LL SERVE OUR ORGANIZATION: CME/CE Compliance • Support the planning, implementation, and evaluation of CME/CE activities., • Coordinate operational and documentation workflows supporting CME/CE documentation, evaluations, certificates, and credit reporting to necessary accrediting bodies., • Oversee automated CME/CE documentation and reporting processes (e.g. Cadmium, Nimble, TraCME, PARS, etc.)., • Coordinate data across LMS, AMS, credit systems, evaluation platforms, and simulation technologies., • Respond to member and learner inquiries related to CME/CE credit, including verification of earned credit, troubleshooting discrepancies, and coordination of corrections across reporting systems., • Maintain organized, audit-ready educational program files and records., • Support presenters and the set-up and utilization of ACOFP's presenter management system., • Coordinate with faculty planners / content planners on compliance requirements., • Coordinate the review of all presenter presentations for CME/CE compliance., • Identify operational risks affecting compliance, timelines, or program execution and escalate appropriately., • In collaboration with finance staff, ensure that check requests are issued for correct honorarium and expense reimbursement/travel stipends specified for each presenter., • Report CME credit for presentation hours., • Provide overall support onsite and/or virtual CME/CE programs., • Support accreditation maintenance activities including preparation for reaccreditation, audits, and compliance reviews., • Monitor deliverables, risks, and deadlines within the educational development and delivery; proactively escalate issues and propose solutions., • Support the coordination of reporting materials, documentation packages, and supporting evidence for sponsors and audits., • Ensure follow-up deliverables (e.g. time-specific follow-up surveys to participants; monthly reporting to grant partners) are provided to supporters on-time., • Support expense tracking and invoicing coordination., • Track joint providership application status and provide timely follow-up on assigned tasks., • Serve as operational liaison between ACOFP and joint provider organizations., • Conduct ongoing communication with joint providers regarding timelines, requirements, and expectations., • Provide information and customer service to joint providers on accreditation standards, independence requirements, and compliance processes., • Process joint providership applications., • Monitor compliance throughout planning, implementation, and close-out phases., • Identify operational risks affecting compliance, timelines, or program execution and escalate appropriately., • Coordinate formative assessments including all member communication, test construction, test registration and follow up activities., • Ensure data integrity on resident rosters for the implementation of ACOFP's formative assessments with support of membership., • Support the Manager of Professional Development in the preparation of workshops (e.g. procedural, OMT, etc.) at ACOFP hosted and partner events., • Generate operational and compliance reports related to CME/CE activities, grant programs and joint providerships., • Review and update department's webpage quarterly to ensure content is accurate, up-to-date, and aligns with organizational goals and initiatives., • Support assigned special committees, ad hoc workgroups, and task forces., • Support ACOFP's knowledge management documentation process by capturing and maintaining related procedures., • Inform potential costs and revenues for assigned programs and projects during budgeting and provide variance reports on those projects and programs to Finance at regular intervals., • Co-manage the monitoring and response to KLA related activities through the eLearning inbox with the Specialist of Digital and eLearning., • Bachelor's degree in association management, education, communication or related field preferred., • 2+ years of experience supporting association professional development, continuing education, or comparable experience, • Experience planning and executing educational activities such as conferences, workshops, webinars, or enduring materials is preferred, particularly within healthcare, academic, or association environments. Excellent time management skills., • Familiarity with accredited, compliance-focused, or regulated environments (e.g., CME/CE, healthcare, higher education, certification programs) is strongly preferred., • Experience using learning management systems (LMS) or continuing education platforms for activity registration, faculty tracking, learner tracking, and outcomes reporting is highly desirable., • Self-motivated and proactive, with strong organizational and time-management skills and the ability to manage competing priorities., • Demonstrated attention to detail, problem-solving ability, and strong written and verbal communication skills., • Ability to collaborate effectively with diverse stakeholders while working independently and maintaining professionalism under pressure., • Must be able to travel to assigned ACOFP's conventions., • Participation may be required in weekend meetings and evening conference calls throughout the year., • Office location is 8501 W Higgins Chicago (Rosemont/O'Hare), featuring easy access to public. transportation (connected to the Cumberland Blue Line)*.
