Patients Bookings Coordinator This is an exciting opportunity for a hardworking and enthusiastic individual to join the SAH Diagnostics bookings department at our head office in Bristol. The applicant should have excellent organizational and interpersonal skills and the ability to work well under pressure. The ability to use their own initiative is essential. The post holder deals with patients, relatives, and healthcare professionals on the phone. Applicants must have excellent communication skills and will be expected to have a courteous and efficient telephone manner. They need to have an excellent working knowledge of Microsoft Packages such as Word, Excel, and Outlook. The post holder will be required to work 37.5 hours per week between the hours of 09:00 and 18:00 Monday to Friday. We are seeking a highly organised, proactive, and patient-focused individual to join our team as a Bookings Coordinator. In this vital role, you will manage ultrasound referrals, schedule appointments, and ensure smooth communication between patients, GPs, sonographers, and our wider team. You will be the first point of contact for many patients, providing a professional and compassionate service that supports access to timely diagnostics. This position plays a crucial role in supporting access to diagnostic services in the community and requires a candidate who is dependable, compassionate, and detail oriented. Training will be provided as necessary, and the role may include occasional travel between service locations, depending on operational needs. This is a fantastic opportunity for someone with strong administrative experience, excellent communication skills, and a passion for delivering outstanding patient care. Key Responsibilities • Manage referrals received via secure NHS email accounts., • Contact patients by phone to arrange appointments, ensuring suitable location, date, and time., • Send appointment confirmations and pre-procedure instructions by secure email., • Provide reminder calls/texts before appointments to reduce non-attendance., • Follow up with patients who miss appointments, rescheduling where appropriate., • Communicate rejected referrals clearly to GPs with supporting documentation., • Respond to queries via the dedicated service helpline (phone provided)., • Record and pass on GP messages about ultrasound reports to sonographers., • Collect and log data required for service audits and reporting. Essential Criteria • Previous experience in an administrative or booking role (healthcare or similar)., • Excellent verbal and written communication skills., • Courteous and professional telephone manner., • Strong organisational and time management skills., • Ability to work independently, using initiative and prioritising effectively., • Proficiency in Microsoft Word, Excel, and Outlook., • Proficient IT skills, • Awareness of handling confidential information in line with data protection., • Ability to work collaboratively as part of a team. Desirable Criteria • Experience working in a healthcare or diagnostic setting., • Understanding of NHS referral processes and systems., • Knowledge of the impact of missed appointments in healthcare services.
