Position Summary Kilgore Counseling Center is seeking a Medical Billing & Finance Specialist to manage our insurance billing, accounts receivable, and key financial processes that support our mission of ensuring accessible, high-quality mental health care. This hybrid role combines hands-on insurance billing with light-to-moderate financial oversight, including using software such as BILL.com, Gusto Payroll, and QuickBooks. Full-time is preferred, but we are willing to consider a part-time arrangement (20–30 hours/week) for a candidate with strong medical billing expertise and the ability to work independently. This role is ideal for someone who enjoys a blend of revenue cycle management and small nonprofit finance work, with autonomy, flexibility, and meaningful mission-driven impact. Key Responsibilities Medical Billing & Revenue Cycle Management (Primary Role) • Submit insurance claims to commercial payers, Medicaid, and Medicare, ensuring clean claim processes., • Manage accounts receivable, including tracking payments, posting remittances, reconciling claims, and monitoring aging reports., • Follow up on denied, rejected, or unpaid claims; correct and resubmit as needed., • Verify insurance benefits and eligibility through payer portals (e.g., Availity)., • Manage private-pay billing, client statements, and payment plans., • Oversee and maintain accurate financial records within systems such as QuickBooks, BILL.com, and Gusto., • Process biweekly payroll through Gusto (full-time role only or PT depending on candidate skill)., • Assist with reconciliation and monthly financial procedures in collaboration with the Executive Director., • Track and enter donations, grants, and contract revenue into appropriate systems., • Assist with grant reimbursement requests and basic financial reporting., • Ensure adherence to Medicaid, Medicare, commercial payer, and state/federal billing requirements., • Maintain confidentiality and data security in accordance with HIPAA., • Collaborate with administrative staff to support efficient office and billing workflows., • Identify opportunities to streamline billing and financial processes. Qualifications Required • 2+ years of medical billing or revenue cycle experience (behavioral health strongly preferred but not required)., • Knowledge of claim submission, EOBs/ERAs, coding basics, insurance follow-up, and payer portals., • Strong organizational skills, accuracy, and independent problem-solving., • Familiarity with accounting or practice management software (EHR experience strongly preferred)., • Proficiency with Excel and general computer skills., • Experience with BILL.com, Gusto, Availity, and/or QuickBooks., • Nonprofit finance experience (donations, grants, or contract billing)., • Payroll processing experience., • Medicaid behavioral health billing background. Work Environment & Schedule • Hybrid: Combination of on-site and remote work.
