Position Summary Our Operations Manager will manage the day-to-day operations for the sales team, building, booking and tracking shipments through payment to carrier and collection from our customers. This position will also assist with the day-to-day accounting functions for the freight sales team to quick and accurate accounts payable and receivable operations are being executed. As the Operations Manager, you will be expected to supervise a team of Account Coordinators and manage their performance and development. Essential Duties and Responsibilities • Driving, maintaining, and evangelizing the Company culture, purpose, and core beliefs through hands-on training, effective onboarding, and selection of new Extra Milers within the location, • Work with Branch to cover shipments via known and new carriers, • Answer inbound calls on posted shipments and cover shipments within target rates with approved carriers who can meet load requirements, • Collaborate with Sales Team Leader(s) on uncovered shipments that are deemed hot shipments to be picked up by cutoff, or sooner, to either decide what rate we’re going to have to pay to cover shipment or communicate to customer about potentially pushing scheduled pickup date, • Track all shipments assigned by Sales Team, adding detailed notes for each “touch” (touch = any call/email to carrier, even if unanswered) in TMS, • All shipments should have at least two tracking location updates per day, • Day-of pickups and deliveries should have a tracking update within two hours of scheduled pickup/delivery, • All tracking updates should be communicated directly to customer, • Work closely with the sales and ops teams to make sure all carriers are paid in a timely manner and customers are meeting established payment terms., • Handle movement of payments from our internal TMS to financial system to record payments as necessary., • Respond to all of assigned customers’ emails quickly. Escalate to Salesperson or Sales Team Leader when necessary., • Point of contact for all external and internal AP & AR questions and communications regarding carriers and customers., • Collect and process proof of delivery documents and invoices for payment within 48hrs of confirmed delivery, identifying/correcting differences from TMS system and resolving any issues/discrepancies., • Own operational problems throughout the day, whether from carrier or customer. Resolve as quickly as possible and escalate to Sales Team Leader(s) when necessary., • Experience working in Freight Brokerage required., • Bachelor’s Degree preferred., • Ability to prioritize and organize work, along with strong follow-up, analytical, problem-solving, and sound decision-making skills, • Ability to effectively communicate in both verbal and written forms with customers, employees, peers, and management, • Create and maintain professional relationships within all levels of the organization and beyond (peers, workgroups, customers, supervisors, and leadership), • Flexibility to operate and self-driven to excel in a fast-paced environment The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
