JOB SUMMARY The Executive Project & Operations Coordinator provides high-level administrative support to the Executive while independently managing projects, coordinating cross-departmental initiatives, and performing entry-level accounting and financial record-keeping. This role requires a detail-oriented, organized, and proactive professional who can balance operational tasks, project oversight, and financial accuracy with minimal supervision. PRIMARY DUTIES & RESPONSIBILITIES Executive & Administrative Support • Manage and prioritize the Executive’s calendar, meetings, appointments, events, and travel (domestic and international)., • Serve as a liaison between the Executive, internal departments, partners, and external stakeholders with professionalism and discretion., • Draft correspondence, prepare reports, assemble presentations, and manage confidential information., • Monitor and organize email and written communications, ensuring timely follow-up on priority matters., • Coordinate and track cross-functional projects, ensuring timelines, deliverables, and milestones are met., • Assist in project planning, intake, prioritization, and execution in partnership with various managers and departments., • Maintain project documentation, track progress, and provide status updates to the Executive., • Identify opportunities to streamline processes and improve workflow efficiency across departments., • Process invoices, coding, and basic AP/AR tasks in coordination with the accounting team., • Prepare, track, and reconcile expense reports for the Executive and designated departments., • Maintain accurate financial spreadsheets, logs, and tracking systems to support budget oversight., • Assist with monthly reconciliations and basic financial reviews., • Organize and maintain accounting files, receipts, and financial documentation for auditing and compliance., • Maintain electronic and paper filing systems for operational, financial, and executive documents., • Coordinate printing, copying, scanning, mail distribution, and record organization., • Support other Managers and departments as needed, demonstrating flexibility and initiative., • Experience in project coordination, operations support, accounting support, or executive administration., • Basic understanding of accounting principles and comfort working with financial data., • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)., • Strong organizational skills with the ability to multitask and work independently., • Excellent communication, interpersonal, and customer service skills., • High level of discretion with confidential and sensitive information.
