Job Description Job Title: Facilities Coordinator Job Description The Facilities Coordinator supports site and assistant facility managers by overseeing day-to-day facilities operations, maintenance, and vendor management while ensuring a safe, well-maintained, and customer-focused workplace. This role manages work orders, coordinates repairs and services, supports events and office services, and helps maintain strong client relationships by delivering consistent, high-quality service. Responsibilities • Support site and assistant facility managers with operational activities in maintenance, operations, accounting, finance, vendor oversight, equipment and supplies, and occupancy services., • Actively foster an environment of teamwork, cooperation, performance excellence, and personal success across the facilities team and site., • Conduct daily walkthroughs to ensure the office remains clean, organized, and compliant with building procedures and standards., • Respond to all work orders in a timely manner, ensuring compliance with key performance indicators and delivering excellent customer service., • Identify opportunities to improve operations and service delivery, and make recommendations to enhance efficiency and service excellence., • Conduct site inspections and assessments to ensure all building procedures and performance measures are maintained and that a safe workplace is provided at all times., • Schedule and manage repairs, preventive maintenance, minor works, and other work requests, tracking each request through to completion., • Provide clear information and direction to vendors, facilities staff, and other service providers to ensure well-coordinated and minimally disruptive execution of work., • Assist in procuring vendors and services as needed, supporting vendor selection, onboarding, and ongoing coordination., • Coordinate the delivery of site amenities, which may include fitness services, food services, massage, transportation support, and workplace moves, and act as the key point of contact for these services., • Provide coordination and logistical support for events, meetings, and conference facilities, ensuring rooms and services are set up and functioning properly., • Support front-of-house and office services, including reception and guest support, mail and courier services, office supplies management, and equipment maintenance., • Maintain productive landlord relations and assist in managing building access passes, safety procedures, and security support., • Update and maintain accurate site records and official documentation, including web pages and operational logs related to moves, reconfigurations, events, reception, and building operations., • Maintain, update, and propose improvements to emergency response plans, including evacuation procedures, after-hours emergency response, and environmental health and safety practices., • Coordinate site operations in accordance with agreed policies, procedures, and contract scope, ensuring alignment with client expectations., • Comply with all requirements of the client contract and meet or exceed established key performance indicators., • Deliver an exceptional quality of service as reflected in client feedback and ongoing client relationship management., • Use the CORRIGO program to manage tickets and work orders, ensuring accurate tracking, status updates, and closure of requests. Essential Skills • Prior experience in facilities, property management, hospitality, or a related field (experience level preferred rather than strictly required)., • Hands-on experience with facilities maintenance, including coordination of HVAC, electrical, and general building systems., • Demonstrated experience in facility management and vendor management, including managing specialized service providers., • Experience managing tickets and work orders using the CORRIGO program or similar facilities management platforms., • Knowledge of local occupational health and safety requirements and safe workplace practices., • Understanding of basic technical aspects of property systems, including computer room air-conditioning, chiller systems, fire protection systems, and mechanical and electrical systems (advantageous)., • Proficiency with a range of information technology tools and platforms for communication, documentation, and work order management., • Strong communication skills, with the ability to interact professionally with clients, vendors, and internal stakeholders., • Excellent organizational skills, with the ability to manage multiple tasks, requests, and priorities simultaneously., • Effective problem-solving skills, with the ability to identify issues, propose solutions, and follow through to resolution., • Ability to work independently with minimal supervision while maintaining high standards of quality and accountability., • Ability to remain effective and professional in stressful or fast-paced situations., • Self-motivated, confident, energetic, and flexible approach to work., • Strong attention to detail and commitment to maintaining accurate records and documentation. Additional Skills & Qualifications • Experience with preventive maintenance programs and scheduling for building systems and equipment., • Background in coordinating office services such as reception, mailroom operations, office supplies, and equipment maintenance., • Experience supporting events, meetings, and conference room operations in a corporate or hospitality environment., • Familiarity with managing landlord relationships and building access systems., • Exposure to environmental health and safety practices, including emergency response and evacuation planning., • Comfort working in environments that include amenities such as fitness centers, food services, and transportation support., • Quick learner with the ability to adapt to new systems, processes, and technologies., • Highly organized and detail-oriented, with a structured approach to tracking work orders, vendor activities, and site documentation., • Strong customer service orientation and commitment to delivering a positive workplace experience for occupants and visitors. Work Environment This role is based on-site in Redwood City, CA, with a standard schedule of Monday through Friday from 7:30 a.m. to 4:30 p.m. PST. The Facilities Coordinator works in a professional office and building environment, supporting both back-of-house facilities operations and front-of-house services such as reception, events, and office amenities. The position involves regular walkthroughs of the facility, coordination with vendors and service providers, and interaction with building management and occupants. Technologies and tools include the CORRIGO program for ticket and work order management, as well as common information technology platforms for communication and documentation. The environment emphasizes teamwork, cooperation, and performance excellence, with a strong focus on safety, cleanliness, and operational reliability. Work may occasionally involve responding to urgent issues, supporting after-hours emergency procedures, and coordinating maintenance or events to minimize disruption to normal business operations. Dress expectations align with a professional office setting. Job Type & Location This is a Contract position based out of Redwood City, CA. Pay and Benefits The pay range for this position is $28.00 - $30.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
