Job DescriptionSalary: POSITION SUMMARY The Assistant Facilities Manager is a hands-on operational leader responsible for ensuring SBS facilities remain safe, compliant, reliable, and inspection-ready at all times. This position oversees day-to-day maintenance operations, manages vendor and county relationships, develops and enforces SOPs, and partners closely with QA, Validations, IT, and Operations to support business continuity. The ideal candidate demonstrates strong technical knowledge, process improvement skills, and the ability to lead SBSs transition from manual processes to automated, data-driven workflows. This individual must inspire trust, build cross-functional alignment, and drive measurable results, all while modeling SBSs RICE values: Respect, Integrity, Customer-Centered, and Excellence. PRINCIPAL RESPONSIBILITIES AND TASKS The statements below reflect the general nature and scope of work assigned to this position. Management may assign additional duties and responsibilities as needed, in alignment with business needs and applicable laws. Leadership & Initiative • Provide daily leadership, coaching, and performance accountability to facilities staff and contractors., • Hold staff and contractors to high standards of follow-through, professionalism, and accountability, addressing underperformance promptly through coaching or corrective action., • Model discretion and professional communication to build trust with senior leadership and staff., • Set and communicate a clear vision for facilities operations and a culture of ownership, professionalism, and continuous improvement., • Make proactive decisions to mitigate risks and resolve issues quickly, including after-hours interventions when required. Process & Systems Improvement • Map current (baseline) workflows and develop improved processes that leverage automation and digital tools., • Collaborate with IT, QA, HR, Inventory, and Operations to capture system requirements and implement CMMS and other digital solutions., • Develop and maintain SOPs, checklists, and preventive maintenance schedules that are clear, compliant, and audit-ready., • Apply Lean, Kaizen, or Six Sigma principles where possible to drive measurable operational improvements. Technical & Compliance Expertise • Ensure strict adherence to GMP, OSHA, EPA, and local regulatory requirements., • Partner with QA and Validations to maintain audit readiness and resolve CAPAs promptly., • Coordinate all permits, inspections, and compliance documentation with Frederick County and other regulatory agencies., • Develop contingency plans for power outages, equipment failures, and emergencies to minimize downtime and protect product integrity. Project & Vendor Management • Build and maintain strong relationships with vendors, contractors, and county inspectors., • Oversee multiple concurrent projects while managing cost, schedule, and quality expectations., • Escalate critical risks or barriers to leadership quickly and propose solutions, not just problems., • Lead vendor qualification and requalification processes, bids, contracts, and service agreements. Operational Excellence & Data-Driven Decision Making • Utilize CMMS (once implemented) to manage work orders, track assets, and monitor performance., • Develop dashboards and reports for senior leadership using Microsoft 365 tools (Excel, SharePoint, Teams)., • Serve as the primary facilities liaison for QA, IT, Validations, and Operations., • Provide timely, transparent updates on facilities status, project progress, and risks., • Present facilities performance metrics and risk reports during leadership meetings, offering data-driven recommendations., • Oversee security systems, CCTV, alarms, and access control measures., • Conduct regular safety inspections and coordinate with first responders as necessary., • Train facilities personnel on SOPs, safety protocols, and new systems, supporting change management efforts. WHAT SUCCESS LOOKS LIKE • Facilities run smoothly with minimal unplanned downtime., • SOPs, logs, and documentation are complete, accurate, and inspection-ready., • Vendor and county relationships are strong, and issues are resolved quickly., • Staff performance measurably improves under clear supervision and accountability. Required: • Bachelors degree in Facilities Management, Engineering, Industrial Operations, or equivalent experience., • Minimum 5 years of progressive facilities experience, including 2+ years supervising staff or contractors., • Proven ability to write and implement SOPs and maintain compliance documentation., • Strong working knowledge of HVAC, electrical, plumbing, mechanical, and security systems., • Advanced proficiency in Microsoft 365 (Outlook, Teams, Excel, SharePoint) for communication, reporting, and project tracking., • Demonstrated ability to manage budgets, timelines, and multiple projects simultaneously., • Experience in GMP-regulated pharmaceutical, biotech, or manufacturing environments., • OSHA 30-hour training or equivalent safety certification., • Experience implementing CMMS and managing inventory control systems., • Experience leading facility expansions, construction projects, or major capital projects from planning through completion. In lieu of a degree, a minimum of seven (7) years of progressively responsible facilities management experience, including staff supervision, SOP development, vendor management, and regulatory compliance, is required. Candidates must demonstrate proficiency with Microsoft 365 and SOP writing during the interview process.
