Job Description Strategic Insight, Ltd. is seeking an Executive Assistant (Executive Support Administrator) to assist our US Navy client. The job is on-site at the Pentagon, VA, supporting our team and providing support for the Navy Top Brass/executive-level leadership. Mandatory Requirement: Applicants must have an active Interim Secret DoD clearance at a minimum, with final Secret preferred at the time of hire. Responsibilities include, but are not limited to: • Receive direction from SES leaders, directors, and staff on classified and unclassified action items; draft high‑quality responses for government review and approval,, • Handle classified materials in accordance with DoD, DON, and security classification guidelines, ensuring strict compliance with all security protocols,, • Prepare draft responses in multiple formats, including email, memoranda, and formal correspondence—using Congressional, DON, and DoD executive‑level standards,, • Conduct director‑level action item tracking and maintain visibility of all suspense requirements,, • Coordinate with internal directorates and external agencies to ensure timely completion of taskers,, • Work closely with designated lead directors to support closure strategies and execution plans,, • Utilize DON Tracker and other official correspondence systems to manage SECNAV, OSD, Congressional, and external organizational taskers,, • Process a wide range of correspondence, including instructions, notices, manuals, acquisition documentation, and Congressional inquiries,, • Draft and compile briefings, concept papers, and executive‑level documents by gathering data, coordinating inputs, and preparing materials for government approval,, • Maintain quality control of official files, shared drives, and online libraries in accordance with DON records management policies,, • Maintain daily liaison with Flag Officers, SES leaders, and senior staff; provide high‑level administrative and operational support,, • Manage incoming correspondence, reports, and directives; maintain information systems to track and control program office documentation,, • Prepare and process government visit requests and coordinate with internal and external stakeholders as required,, • Schedule and manage internal and external meetings, teleconferences, and program reviews,, • Maintain office supply inventory and coordinate replenishment with government personnel,, • Prepare Defense Travel System (DTS) authorizations and vouchers, senior‑leader daily binders, and daybooks,, • Support onboarding and checkout processes for permanent staff, rotational personnel, and visitors,, • Interface with Naval Centers and laboratories to support executive correspondence and ensure completion of research, development, test, and engineering (RDT&E) acquisition activities, and, • Minimum of a High School Diploma (Associate’s or Bachelor’s degree preferred)., • At least 10 years of experience providing administrative support to senior‑level or executive‑level personnel in a government, military, or corporate environment., • Navy Experience at the Pentagon preferred., • Ability to work in a fast-paced environment., • Demonstrated experience in project administration, program management support, event coordination, records management, and data entry., • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) with the ability to produce error‑free documents and executive‑ready products., • Working knowledge of government travel systems, policies, procedures (DTS experience required), and ETMS2., • Strong proofreading and editing skills, particularly for highly technical or policy‑driven documents.
