What We Need — and Why It Matters xLight is seeking a proactive and highly organized Office Administrator to support day-to-day operations at our Newport News, Virginia office. This role will serve as a key point of coordination for office operations, employee support, facilities, vendor management, and administrative activities in a fast-paced deep-tech startup environment. The ideal candidate thrives in a dynamic setting, enjoys creating structure and organization, and takes pride in building a positive and efficient workplace experience for employees and visitors alike. What You’ll Do • Manage daily office operations and ensure the office environment remains organized, functional, and welcoming, • Coordinate office supplies, equipment, inventory, shipping/receiving, and vendor relationships, • Support onsite employee experience initiatives, meetings, events, and team activities, • Assist with facilities coordination, office maintenance requests, and workspace setup for new hires, • Partner with HR, recruiting, finance, and leadership teams on administrative and operational needs, • Coordinate travel arrangements, schedules, meeting logistics, and visitor management as needed, • Support onboarding logistics, badge/access coordination, and office-related documentation, • Assist with invoice processing, expense tracking, purchase requests, and procurement coordination, • Maintain organized records, office procedures, and operational documentation, • Help support a collaborative, professional, and positive office culture What We Are Looking For • Bachelor’s degree in Business Administration, Communications, Human Resources, or a related field preferred, • 3+ years of experience in office administration, workplace operations, executive support, or administrative coordination, • Strong organizational and multitasking skills with high attention to detail, • Excellent written and verbal communication skills, • Ability to manage competing priorities in a fast-paced startup environment, • Experience coordinating vendors, facilities, office operations, or employee support activities, • Proficiency with Microsoft Office, Google Workspace, and standard business tools, • Strong professionalism, discretion, and problem-solving abilities And If You Bring This — Even Better • Experience supporting engineering, manufacturing, or technical teams, • Startup or high-growth company experience, • Familiarity with procurement, expense management, or basic finance coordination, • Experience planning office events or employee engagement activities What You Can Expect from Us • 100% Company-funded health insurance for employee, • Company funded Life Insurance and disability insurance, • 401k contribution. 100% up to 3% of compensation, plus 50% match between 3% and 5%. However, base pay offered may vary depending on multiple factors, including role, job-related knowledge, skills, relevant education and experience. The total compensation package for this position may also include other elements, including equity, and a full range of benefits.
